Job Title: Construction Administrator
Department: Construction
Reports To: Director of Construction, Eastern Canada
Location: 1 open position in Essex, ON and 1 open position in Huntsville, ON
Iconic Power Systems is seeking an organized and detail-oriented Construction Administrator to support our Construction team in Eastern Canada. Reporting to the Director of Construction, Eastern Canada, this role plays a critical part in ensuring projects are supported through effective administration, documentation management, permit coordination, reporting, onboarding, and assisting with field operations support.
The ideal candidate thrives in a fast-paced construction environment, has excellent organizational and communication skills, and enjoys working collaboratively with both office and field teams to keep projects running efficiently.
Key Responsibilities
- Provide administrative support to the Director of Construction, Construction Operations Supervisors, and field teams.
- Prepare, organize, and maintain project documentation and records.
- Coordinate and distribute meeting agendas, minutes, and action items.
- Perform data entry and maintain project tracking information to support construction delivery.
- Assist with the onboarding and orientation of new construction personnel.
- Support Health, Safety, Environment (HSE), Quality, and Construction initiatives.
- Track and monitor equipment rentals and related documentation.
- Prepare, coordinate, and submit permits, including street-use permits, excavation permits, utility locates, and other project requirements.
- Support site teams by ensuring required documentation, policies, procedures, and client requirements are communicated and maintained.
- Assist with daily project planning, scheduling, and administrative coordination.
- Maintain accurate document control and retention practices.
- Provide general administrative support to construction management and project teams as required.
Qualifications
Education
- High School Diploma or equivalent required.
- Post-secondary education in Business Administration, Construction Administration, Project Management, or a related field is considered an asset.
Experience
- 1-2 years of experience in an administrative or coordination role.
- Experience using Microsoft Office Suite, including Excel, Word, Outlook, and Project.
- Previous construction, project administration, or field support experience is considered an asset.
Skills & Competencies
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work effectively with a variety of internal and external stakeholders.
- Proficiency in Microsoft Office applications.
- Ability to maintain confidentiality and professionalism.
- Demonstrated understanding of workplace health and safety practices.
- Solid problem-solving and decision-making abilities.
Requirements
- Valid Class 5 Driver's License.
- OSSA BSO or CSO certification preferred.
- CSTS certification required or willingness to obtain.
- Ability to travel occasionally to project sites as required.
