About Heights Laser Centre
For over 20 years, Heights Laser Centre has been a physician-directed medical aesthetics clinic in Burnaby, offering advanced laser treatments, injectables, skin rejuvenation, body contouring, and physician-grade skincare.
We are looking for an energetic, warm, highly organized Patient Care Coordinator & Social Media Specialist who loves working with people, is comfortable with consultative sales, and has a genuine interest in skincare, beauty, and medical aesthetics.
This is an ideal opportunity for someone who enjoys building relationships with patients, creating an exceptional customer experience, and contributing to the growth of a busy medical aesthetics practice.
About the Role
This is much more than a traditional reception position.
As a Patient Care Coordinator, you will often be the first and last point of contact for our patients and will play an important role throughout their journey — from the initial phone call or online inquiry through consultation, treatment, follow-up, and rebooking.
You will also help grow the practice by converting inquiries into consultations, supporting skincare and treatment sales, maintaining strong patient relationships, and assisting with patient retention and recall initiatives.
Approximately 20–25% of the role will focus on social media and marketing, including creating and scheduling content, capturing photos and videos in the clinic, and helping showcase our treatments, team, and patient experience online.
This position is best suited to someone who genuinely enjoys both sides of the role: patient care and sales first, with social media and marketing as an important secondary responsibility.
Key Responsibilities
Patient Experience & Practice Coordination
- Create a warm, professional and welcoming experience for every patient.
- Answer phone calls, emails, texts, website inquiries, and social media messages promptly and professionally.
- Schedule consultations, treatments, follow-ups, recalls, and rebooking appointments.
- Manage provider schedules with attention to both patient experience and clinic productivity.
- Check patients in and out and process payments and retail purchases.
- Maintain accurate patient information using our practice management software.
- Support physicians and treatment providers throughout the day.
- Maintain a polished, organized reception and retail environment.
Patient Conversion, Sales & Retention
- Respond promptly to new patient inquiries and help prospective patients understand appropriate treatment options and next steps.
- Convert inquiries into booked consultations and appointments.
- Confidently recommend physician-grade skincare and relevant treatment options based on patient needs.
- Follow up with prospective patients who have inquired or consulted but have not yet booked.
- Support patient recall and reactivation initiatives.
- Promote clinic programs, treatment packages, and special offers.
- Encourage satisfied patients to share their experience through Google reviews.
- Contribute to clinic goals for consultation bookings, rebooking, patient retention, and retail sales.
- Build lasting relationships that encourage patients to return to Heights Laser Centre for their ongoing aesthetic and skincare needs.
Social Media & Marketing
- Help create engaging content for Instagram, Facebook, and other relevant platforms.
- Capture high-quality photos and short-form videos in the clinic using a smartphone.
- Coordinate patient before-and-after photography and appropriate consent.
- Create and schedule social media posts and stories.
- Respond professionally to social media comments and messages.
- Assist with promotions, clinic events, email marketing, and other marketing initiatives.
- Work with clinic leadership to identify content ideas that educate patients, showcase results, and strengthen our online presence.

Qualifications
Required
- Minimum 2 years of experience in medical aesthetics, cosmetic medicine, plastic surgery, dermatology, dental, hospitality, luxury retail, skincare/beauty, or another high-touch customer service setting.
- Strong customer service and relationship-building skills.
- Demonstrated sales experience and comfort recommending products or services.
- Experience using Instagram and Facebook for business or professional purposes.
- Comfortable capturing quality photos and short videos using a smartphone.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High level of computer proficiency and ability to learn new systems quickly.
- Professional presentation and exceptional attention to detail.
- Ability to work independently, take initiative, and think critically in a fast-paced environment.
Preferred
- Previous medical aesthetics, cosmetic medicine, skincare, or beauty industry experience.
- Knowledge of physician-grade skincare products.
- Experience with Meta Business Suite for scheduling content, managing messages, or monitoring engagement.
- Experience with Canva, CapCut, or similar content-creation tools.
- Experience with mSpa or another medical/aesthetic practice management system.
- Familiarity with social media analytics and content planning.
- Post-secondary education in business, marketing, communications, healthcare administration, aesthetics, or a related field.

- Full-time.
