Role Summary:

Alder Concrete Group is looking for an organized, dependable, and proactive Office Administrator to support our growing team in Waterloo.

This is a hands-on role for someone who enjoys keeping things organized, solving problems, and helping a busy office run smoothly. Working with employees across the company, the Office Administrator will provide day-to-day administrative support, coordinate office needs, and help create a professional and welcoming environment.

The ideal candidate takes initiative, pays attention to detail, and is comfortable jumping between priorities. If something needs organizing, coordinating, following up on, or simply getting done, you’re the kind of person who makes it happen.

Key Responsibilities:

- Manage the front office and greet visitors and employees in a professional and welcoming manner.
- Answer incoming calls for Alder Concrete Group and Fritz-Alder Precast and ensure callers are promptly connected with the appropriate person or department.
- Manage meeting and Boardroom schedules, including coordinating day-to-day meetings for the Executive Team, preparing meeting spaces, and arranging lunches or catering as required.
- Coordinate travel arrangements for members of the Executive Team, including transportation, accommodations, and related logistics.
- Prepare meeting materials and accurately record and distribute meeting minutes when required.
- Manage incoming and outgoing mail, courier deliveries, and general correspondence.
- Coordinate and oversee office cleaning services, acting as the primary contact for cleaners and addressing any service or scheduling requirements.
- Monitor and manage office, kitchen, and cleaning supplies,



including sourcing and ordering items in a timely and cost-conscious manner.
- Help maintain an organized, professional, and effective office environment.
- Coordinate the local pickup and delivery of customer cheques and other time-sensitive documents as required.
- Act as the primary internal point of contact for IT-related issues, coordinating with the company's external IT provider to troubleshoot problems, arrange support, and follow issues through to resolution.
- Support the administration of company vehicles, including maintaining vehicle records, tracking assignments and usage, coordinating service and maintenance requirements, and ensuring documentation is kept current.
- Assist with employee events, team lunches, meetings, celebrations, and other company activities.
- Perform other administrative duties as assigned.

Qualifications

Education

- Post-secondary education in Office Administration, Business Administration, Business Management, or a related field is preferred; an equivalent combination of education and relevant administrative experience will also be considered.

Experience

- Minimum three years of full-time office administration experience in a fast-paced environment.
- A team-oriented mindset with the ability to build good relationships across all levels of the company and help keep the office atmosphere collaborative and professional.
- Strong organizational skills with the ability to multi-task and prioritize.
- Excellent communication skills, both written and verbal.
- Expert proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong attention to detail
- A proactive, flexible mindset with a willingness to learn new tasks and skills.

Pay: $20.36-$22.62 per hour
