We are currently seeking a motivated and detail-oriented Accounting Technician – Office Administrator to join our team. Position Summary
The Accounting Technician – Office Administrator is responsible for supporting the Finance and Administration departments by performing a variety of accounting, payroll, and office administration duties. The successful candidate will assist with accounts payable and receivable, payroll timecards, financial record keeping, and general administrative support while ensuring accuracy, confidentiality, and compliance with company policies and applicable legislation.
Key Responsibilities
Accounting Duties
- Process accounts payable and accounts receivable transactions.
- Prepare and reconcile invoices, expense reports, and credit card statements.
- Assist with monthly bank reconciliations and financial reporting.
- Maintain accurate accounting records and supporting documentation.
- Assist with month-end and year-end closing activities.
- Support the preparation of budgets and financial reports.
- Ensure timely and accurate data entry into accounting systems.
- Assist with audits and provide supporting documentation as required.
Payroll Administration
- Assist with payroll processing for Office and Warehouse staff, ensure employee time sheets are accurate and up to date before approval.
- Maintain payroll timesheets.
- Coordinate with employees and managers regarding payroll inquiries.
- Communicate with HR Manager all relevant payroll issues and submit individual timecards for HR's final approval and submission for payroll processing.
Office Administration
- Manage incoming calls, emails, and correspondence.
- Maintain local office filing systems, both electronic and paper based.
- Coordinate with Head Office for Office orders.
- Assist HR Manager with shortlisting job applicants and scheduling interviews.
- Support day-to-day office operations.
Compliance & Record Keeping
- Maintain confidential financial information.
- Ensure compliance with company policies, accounting standards, and applicable legislation.
- Assist with maintaining records related to payroll, recruitment and financial transactions.
- Support internal and external audits as required.
Qualifications
- Diploma or Certificate in Accounting, Business Administration, Office Administration, or a related field.
- Minimum of 1–3 years of experience in accounting and/or office administration.
- Experience with payroll processing is considered an asset.
- Proficiency in Microsoft Office Suite (particularly Excel, Word, and Outlook).
- Experience using accounting and payroll software (e.g., ADP, QuickBooks, Sage, or similar) is preferred.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Excellent verbal and written communication skills in English; French is considered an asset.
- Ability to work independently and collaboratively in a rapid-paced environment.
Preferred Qualifications
- Experience working in transportation, logistics, aviation, or air cargo industries.
- Knowledge of the Canada Labour Code and Quebec employment standards is an asset.
- Familiarity with payroll regulations, bookkeeping practices, and office procedures.
- Experience supporting multiple departments in an administrative capacity.

Working Conditions
- Primarily office-based at our Montreal Office.
- Ability to sit for extended periods and use standard office equipment.
- May be required to support various departments based on operational needs.
