Working as a Tenant Participation Coordinator at Toronto Community Housing is dynamic and rewarding. You get to work directly within the community, having the opportunity to see how your actions impact the tenants we serve. Some of the responsibilities you will carry out include facilitating meetings.

The objective of this position is to provide administrative support and coordination to the Tenant Participation System and the corporate initiatives supported by the Operations division. In addition, the position is required to perform assigned responsibilities, complex office works and projects in connection with the operation of an efficient, healthy organizational unit.

The individual in the role will be the first line support to the TCHC’s vital tenant engagement initiative. To ensure this, the individual will commonly attend evening meetings and have the ability to perform assigned tasks independently in a fast, professional and accurate manner with very limited supervision while meeting the service standard requirements of the TCHC.

What you’ll do

- Provide administrative support and co-ordination to complex tenant structures including the tenant councils/committees and corporate initiative committees.
- Support tenants in order for them to become more active participants in their communities.
- Prepare detailed forms and presentation materials,



including graphs and charts by using various software applications.
- Exercise a good sense of judgment, a well-developed sense of discretion in handling information relating to tenants, confidential material and provides quality service in accordance to the TCHC service standard requirements.
- Support initiatives that encourage active tenant participation including scheduling meetings with Tenant Council members, community agencies, TCHC Committees and elected officials.
- Assist in preparing budgets, maintain financial records and monitor that expenditures are within established amounts and charged to the proper account; update manager as necessary.
- Administer control over petty cash, prepare/process requisitions for purchases.
- Maintain a comprehensive filing system and implement methods focusing on easy retrieval of information and security of confidential tenant material.
- Perform various clerical and administrative duties assigned by the Managers with the aim of supporting staff to achieve Healthy Communities through accountability to quality services.
- Support the direction of the division through administrative support to the Tenant Participation System structures and committees and Human Rights & Fair Access initiatives.
- Compose/draft preliminary materials to support decision making process by summarizing pertinent information.
- Capture content of complex meetings and prepare minutes in clear and plain language.
- Assist in preparing, manuals, reports, statistical statements, letters, memoranda, minutes and other documents.
- Create detailed reports, presentations, displays and other visual aids using various MS Office applications.
- Schedule meetings and co-ordinates all parts of the meeting including booking space, setting up of the meeting room, ordering refreshments, minute/notes taking and confirmation of meeting to related parties.
- Advise project leaders of deadlines, changes, or revised priorities.
- Prepare and process cheque requisition and requisitions for purchasing.
- Maintain continued awareness of the programs/initiatives, procedures, organizational structure, major operational activities and objectives of TCHC.
- Travel to and works in a variety of locations across the City of Toronto.
- Attend and support evening meetings on a weekly basis.

What you’ll need

- Extensive experience and good track record in providing professional and effective clerical/administrative support to staff at Senior Management/Director/Manager levels.
- Proven experience/history in a progressive and responsible position.
- Able to work independently with minimum supervision and set work priority as appropriate.
- Excellent interpersonal communication skills both written and verbal.
- Ability to work as participating member within a multi-disciplinary team.
- Ability to maintain effective working relationships with staff, external agencies and tenant groups.
- Knowledge and familiarity with the theory and practice of race relations and community development, tenant participation, social housing, TCHC Community Development Action Plan and the structure/operation of TCHC.
- Knowledge in various TCHC policies and procedures and related legislation such as the Charter of Rights and Freedoms, Tenant Protection Act, Freedom of Information Act, etc.
- Be a self-starter and have ability to exercise sound judgement in prioritizing and coordinating the day-to-day routine operation and office activities.
- Proficiency in computerized environment and is confident in MS Office Suite Applications, GroupWise, HMS,



and knowledgeable in other commonly used applications.

Assessment Process:

Candidates will complete an online/written test and/or computerized written test and a verbal interview. Candidates will need to achieve a score of 70% on each step/assessment to pass. Successful internal candidates will be considered further based on union seniority. In the event there are any changes candidates will be notified prior to the assessment in writing.
