We are looking for a detail-oriented and highly organized professional to support our accounting and payroll operations. Position Overview:
The Accounting and Payroll Administrator plays an important role in supporting the company’s people and financial operations. This role assists with payroll preparation, employee administration, recruitment support, benefits coordination, and accounting functions including reconciliations and reporting.
The successful candidate will work closely with leadership and multiple departments to ensure payroll and financial processes run smoothly and efficiently.
Duties and Responsibilities:
Payroll Related Duties
· Prepare and process payroll for hourly and salaried employees across multiple entities
· Maintain employee records and ensure documentation, policies, and employment agreements are properly signed and filed
· Set up new employees in the HRIS system and assist with onboarding processes
· Prepare and issue employment offer letters
· Issue Records of Employment (ROEs) when required
· Maintain employee time-off tracking and employee related documentation
· Administer employee perks through Manulife, including:
o Enrolling and removing employees o Processing benefits invoices and allocating costs to departments o Assisting with short- and long-term disability claim administration
· Assist with recruitment activities including pre-screening applicants and coordinating interviews
· Support annual payroll processes including T4 preparation and payroll reporting updates
· Prepare and submit Workers’ Compensation Board (WCB) annual reporting
· Assist with applications for wage subsidies and other employment programs
· Participate in the company’s Safety Committee and assist with maintaining COR certification
· Ensure employee records and payroll documentation remain accurate, organized, and compliant
· Other duties as requested by Controller, Vice-President or President
Accounting & Administrative Support
· Assist with account reconciliations and account analysis
· Support month-end and year-end financial reports and analysis
· Prepare payroll journal entries and related monthly accruals
· Assist with Statistics Canada reporting requirements
· Maintain organized records of contracts and documentation
· Assist in documenting and improving internal processes
· Support the Controller and Accounting Supervisor with projects and operations initiatives
· Provide general administrative support to finance and leadership as required
Skills, Education and Qualifications
· Bachelor’s degree in Accounting or Finance or a related field, or an equivalent combination of education and relevant professional experience
· Exceptional attention to detail and accuracy
· Excellent written and verbal communication skills
· Highly organized individual with well-developed time-management skills
· Strong Microsoft Excel skills required (other Microsoft office program experience is also valuable)
· Strong software skills generally, and willingness to learn new systems
· Ability to work in a fast-paced open-concept office with multiple deadlines
· Well-developed analytical and problem-solving skills and a natural sense of curiosity
· Able to work both collaboratively and independently
· Friendly, professional and courteous with a natural desire to be helpful
· Take pride in a job well done, and have a mindset for continuous improvement
· Ability to maintain strict confidentiality with sensitive employee information
· Strong understanding of payroll rules and regulations, as they relate to various jobs and professions
Job Type: Full-time
Pay: $20.00-$24.00 per hour
