Administrative Assistant

Calgary, Alberta | Growing Local Tallow Skincare Company

Pay

- $15.50 per hour to start, with compensation negotiable for the right candidate
- Possibility for hybrid role as part of the sales team providing additional commission

We are a growing, hands-on skincare company, and as a start-up, there is always something happening. We are looking for someone who can help bring organization, structure, consistency, and efficiency to the day-to-day operations of our business.

This is a position for someone who takes initiative, notices what needs to be done, and gets it done.

You will play an important role in supporting our team, keeping information organized, coordinating activities, communicating with customers and business partners, and helping the company operate efficiently as we continue to grow.

Because we are a small company, you will have the chance to wear many hats. Your responsibilities will vary from day to day, and you will have the opportunity to learn about many different aspects of running a business.

You will work closely with the owners and other members of the team and will have the opportunity to take ownership of projects and responsibilities as your knowledge and confidence grow.

Previous office administration experience is valuable, but the right attitude, work ethic, organizational ability, and willingness to learn are equally important to us.

Duties The responsibilities of this position will evolve as the company grows, but may include:

General Administration

- Manage day-to-day administrative tasks and office organization.
- Maintain organized digital and physical files and records.
- Enter, update, and maintain information in company systems.
- Prepare documents, forms, spreadsheets, reports, and other materials.
- Assist with scheduling, calendars, appointments, and meetings.
- Organize and maintain company information and documentation.
- Monitor office supplies and assist with purchasing and restocking.
- Help establish and maintain efficient administrative systems and procedures.
- Identify opportunities to improve organization, efficiency, and workflow.

Customer Service & Communication

- Respond to customer inquiries by phone, email, and other communication channels.
- Provide friendly, professional, and timely customer service.
- Assist with customer orders, questions, concerns, and follow-up.
- Communicate with retail partners, suppliers, vendors, and other business contacts.
- Maintain accurate customer information and records.
- Ensure important customer and business communications are followed up on in a timely manner.

Orders & Inventory

- Assist with processing customer and wholesale orders.
- Enter and maintain order information accurately.
- Assist with inventory tracking and organization.
- Help coordinate receiving, packing, shipping, and fulfillment.
- Monitor inventory levels and communicate when products or supplies need to be reordered.
- Assist with inventory counts and reconciliation.
- Help maintain accurate product and inventory records.

Events & Markets

- Assist with planning and coordinating markets, demonstrations, workshops, and other events.
- Help organize event materials, supplies, products, displays, and promotional materials.
- Assist with event registration, scheduling, communications, and logistics.
- Help with setup and tear-down when required.
- Occasional travel may be required for events throughout Calgary, Alberta, and potentially Western Canada.

Business Support





- Provide administrative support to company leadership.
- Assist with research and gathering information.
- Prepare spreadsheets and reports.
- Assist with purchasing and vendor communication.
- Help maintain internal procedures and documentation.
- Assist with new projects and business initiatives.
- Take ownership of specific administrative projects and see them through from beginning to completion.
- Assist with other duties and projects as needed in a growing start-up environment.

Experience & Skills

Required:

- Experience in office administration or similar experience.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability and willingness to learn and retain a large amount of detailed product information.
- Experience with Microsoft Office, Google Workspace, spreadsheets, email, and/or other business software.
- Strong computer skills and comfort learning new software and technology.
- Ability to manage multiple tasks and priorities.
- Strong time-management skills.
- Ability to work independently with minimal supervision.
- Ability to work effectively as part of a small team in a fast-paced and sometimes unpredictable start-up environment.
- Ability to maintain confidentiality and handle sensitive business and customer information appropriately.
- Strong follow-through—you do what you say you are going to do.
- Reliable, punctual, organized, self-motivated, and comfortable working independently as well as part of a small team.
- Ability to stand for long hours

Major Asset:
- Ability to lift up to 50 pounds
- Strong interest in skincare, ingredients, and natural wellness.
- Willing to work long days when required.

Asset:

- Willingness to occasionally work evenings, weekends, outdoors, or at special events when required.
- Willingness to work in a hybrid sales role as required.
- Experience with natural products—particularly beauty, skincare, wellness, or health products.
- Experience with beauty products, skincare, or health products.
- Ability to drive and access to a vehicle
