We are seeking an experienced and passionate Appliance Service Technician Instructor to deliver high-quality classroom and practical training to adult learners. The successful candidate will possess extensive industry experience in appliance installation, diagnostics, maintenance, and repair, along with a genuine passion for teaching and mentoring future skilled trades professionals.

Job Summary

We are seeking a highly organized, analytical, and meticulous Administrative Assistant to support the college's backend operations, focusing primarily on data integrity, record keeping, and process support. This vital role will involve managing complex filing systems, executing large-scale data entry projects, and ensuring the administrative flow between departments is seamless and efficient. The ideal candidate thrives in a focused, independent setting and is dedicated to accuracy and operational excellence.

Key Responsibilities (Core Functions)

1. Data and Records Management

- System Integrity: Execute high-volume, accurate data entry into the college’s Student Information System (SIS), CRM, and other operational databases.
- Filing Systems: Manage, organize, and maintain both physical and digital student and operational records, ensuring strict compliance with college policies and privacy regulations.
- Document Processing: Systematically file, scan, index, and archive essential documents related to admissions, registration,



finance, and academic progress.
- Auditing and Verification: Perform routine internal audits of records and databases to identify and correct discrepancies, ensuring data accuracy and completeness.

2. Operational and Process Support

- Administrative Coordination: Provide dedicated, detailed administrative support to various departments (e.g., Admissions, Finance, Registrar) to ensure the efficient flow of internal paperwork and data.
- Report Assistance: Assist in generating and compiling basic operational reports, data summaries, and documentation required for administrative reviews.
- Mail and Logistics: Handle the sorting, internal distribution, and processing of sensitive, confidential inter-office mail and bulk administrative documents.

3. General Administrative Duties

- Supply Management: Monitor inventory of essential office supplies (paper, printing materials, folders, etc.) used for backend operations and process orders as needed.
- Confidentiality: Strictly adhere to protocols for handling and securing confidential student and faculty information.
- Process Improvement: Identify and suggest potential improvements for filing, data entry, and record-keeping processes to enhance overall operational efficiency.

Requirements & Qualifications Essential Qualifications

- Experience: Min. 1 years of relevant experience in a back-office administration, data entry, records management, or operational support role.




- Education: High School Diploma or equivalent required; an undergraduate degree is preferred.
- Technical Skills: Advanced proficiency in the Microsoft Office Suite (Excel for data management, Word, Outlook).
- Data Focus: Demonstrated ability to manage high-volume data entry with outstanding speed and accuracy.
- Core Competencies: Exceptional organizational skills, an intense focus on detail, and a proven ability to manage time and prioritize complex, multi-step tasks independently.
- Confidentiality: Impeccable professional integrity and the ability to handle highly sensitive and confidential records with discretion.

Preferred Skills (Advantageous Experience)

- System Knowledge: Direct, hands-on experience working with a Student Information System (SIS), CRM system, or document management software.
- Record Keeping: Proven experience in designing or managing large, complex physical or digital filing/archiving systems.
- Familiarity with standard office equipment (e.g., multi-line phone systems, printers, scanners).

Working Conditions:

- This position requires long periods of sitting at a desk.
- Standard office hours (Monday to Friday 9am to 6pm and Saturdays- 11am to 4pm), with potential for occasional evening or weekend availability to support college events.
