Stafingo is hiring on behalf of a confidential client in Halifax, Nova Scotia, for an Administrative / Customer Service Coordinator to support an important Driver Licensing operation.
Position Overview :
Stafingo is seeking a reliable, organized, and customer-focused Administrative / Customer Service Coordinator to provide operational and administrative support within a Driver Licensing environment.
The successful candidate will assist with day-to-day coordination, customer service, documentation, scheduling, data entry, and administrative activities that help ensure timely and efficient delivery of public-facing services.
This is an excellent opportunity for an individual with strong administrative and customer service skills who is comfortable working in a structured, high-volume environment and interacting professionally with members of the public.
Key Responsibilities :
- Provide day-to-day administrative and operational support to the Driver Licensing team.
- Assist customers and members of the public with general inquiries and service-related requests.
- Receive, review, organize, and process documentation in accordance with established procedures.
- Maintain accurate records, files, databases, and other administrative information.
- Perform data entry and update information accurately in internal systems.
- Coordinate and track administrative requests, follow-ups, and outstanding items.
- Assist with scheduling, appointment coordination, and other operational activities as required.
- Verify information and documentation for completeness and accuracy.
- Communicate professionally with customers, internal staff, and other stakeholders.
- Escalate complex or sensitive customer inquiries to the appropriate team member.
- Prepare correspondence, forms, reports, spreadsheets, and other administrative documents.
- Support the team in maintaining efficient workflows and meeting service timelines.
- Handle confidential and sensitive information with professionalism and discretion.
- Follow established policies, procedures, privacy requirements, and operational guidelines.
- Assist with general office administration, including filing, scanning, document management, and records maintenance.
- Identify administrative issues or discrepancies and work with the appropriate team members to resolve them.
- Perform other related administrative and customer-service duties as assigned.
Required Qualifications :
- High school diploma or equivalent is required.
- Minimum 4 years of relevant administrative, customer service, coordination, or office support experience.
- Strong customer service and communication skills.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities in a fast-paced workplace.
- Proficiency with Microsoft Office applications,
including Word and Excel.
- Strong written and verbal communication skills.
- Ability to work independently while also collaborating effectively with a team.
- Ability to handle confidential information appropriately.
- Professional, dependable, and service-oriented approach.
Preferred Qualifications :
- Experience in a government, public-sector, regulatory, or high-volume customer service environment.
- Experience supporting licensing, transportation, healthcare, insurance, or other public-facing programs.
- Experience with document verification, records management, data entry, or case administration.
- Experience working with databases or enterprise administrative systems.
- Experience handling sensitive personal or medical-related documentation.
- Previous experience working in a driver licensing or motor-vehicle administration environment.
