The Payroll Advisor (Foundation Payroll Team Lead) provides leadership, technical expertise, and operational oversight to a team of payroll specialists responsible for delivering accurate, timely, and compliant payroll services to charitable and foundation organizations.
The Foundation
Payroll team supports a diverse portfolio of charitable organizations, each with its own payroll system, organizational structure, employment agreements, payroll policies, and processing requirements.
The Payroll
Advisor provides day-to-day leadership and technical direction to the team while ensuring payroll activities are completed accurately, consistently, and within established deadlines. The successful candidate will be an experienced Canadian payroll professional who is comfortable working with multiple payroll systems and supporting organizations with differing payroll requirements. They will serve as a subject-matter resource for complex payroll matters, provide coaching and direction to Payroll Specialists, identify and resolve issues, and promote strong payroll controls and consistent processes. This position requires a high degree of organization, attention to detail, judgment, problem-solving ability, and the ability to balance competing priorities across multiple client organizations.
Description
Key Responsibilities include: Team leadership and support. Assign and coordinate work to ensure payroll deadlines and service commitments are consistently met. Monitor workload, priorities, processing schedules, and team capacity.
Act as the first level of escalation for complex payroll issues and processing concerns. Provide coaching, mentoring, technical guidance, and feedback to team members. Support the onboarding and training of new payroll specialists.
Identify training needs and develop or recommend appropriate learning and development opportunities.
Promote accountability, teamwork, knowledge sharing, and continuous improvement within the team. Assist with performance management activities, including identifying performance concerns and supporting employees in achieving established expectations.
Provide technical oversight and guidance for the processing of payroll for multiple charitable and foundation organizations. Review complex payroll transactions and provide direction on appropriate processing and treatment. Ensure payrolls are processed accurately, completely, and within established deadlines.
Develop a strong understanding of the unique payroll requirements of each assigned charitable organization. Support payroll audits and provide documentation and information as required. Identify operational risks and recommend corrective actions.
Communicate payroll issues clearly and professionally to clients, team members, and internal stakeholders.

Required Qualifications: Post-secondary education in Payroll,
Accounting, Business Administration, Human Resources, or a related discipline, or an equivalent combination of education and experience.
Canadian Payroll
Association/Payroll Compliance Practitioner (PCP) designation or Canadian Payroll Association/Payroll Leadership Professional (PLP) designation. Several years of progressively responsible Canadian payroll experience. Strong knowledge of Canadian payroll legislation, CRA requirements, and payroll practices. Demonstrated experience processing payroll in a complex, multi-client, or multi-system environment.
Experience with payroll year-end processes, including T4s, reconciliations, and related reporting.
Experience with payroll calculations involving taxable benefits, statutory deductions, vacation, statutory holidays, retroactive payments, terminations, and other complex payroll transactions. Demonstrated experience providing guidance, coaching, or leadership to other payroll professionals. Strong analytical and problem-solving skills.
Excellent organizational skills and the ability to manage multiple competing priorities and deadlines. Strong attention to detail and a demonstrated commitment to payroll accuracy and confidentiality. Excellent written and verbal communication skills.
Additional Required Qualifications: As Required.
Preferred Qualifications: Previous experience in a team lead, senior payroll, supervisory, or advisory role. Experience supporting payroll for multiple employers or client organizations. Experience with payroll for charitable, not-for-profit, healthcare, public-sector, or other complex organizations. Experience with payroll system implementations, conversions, testing, or upgrades. Experience developing payroll procedures, controls, training materials, or process documentation.
