We are seeking a highly organized and motivated individual to fill the role of Bookkeeper. This position supports daily finance and administrative operations. This role is responsible for accounts receivable and payable processing, financial data preparing, vendor coordination, and general office support, ensuring smooth and compliant business operations.

The ideal candidate is someone who can handle multiple tasks with precision and professionalism. The successful candidate will be a collaborative communicator and a precise thinker. You should be comfortable using your analytical skills to tackle challenges while maintaining high standards in a time-sensitive setting.

This position will report to the Accountant.

Responsibilities:

1. Accounts Receivable (AR) and Accounts Payable (AP)

- Receive, review, and verify invoices
- Monitor payment terms and vendor cycles to ensure timely processing




- Maintain AP records and prevent duplicate payments
- Submit invoices for payment approval and manage documentation
- Enter invoices into ERP system with accurate account coding
- Monitor and record company credit card transactions
- Organize, scan, and archive financial documents for audit compliance
- Reconcile daily expense records
- Maintain list of client with payment terms
- Process, record and reconcile customer payments on daily basis
- Issue invocies and statements to clients using NetSuite
- Track client payment records and release sales orders
- Issue credit memos based on company policy and Accountant's instruction
- Answer client's questions regarding financial transactions
- Maintain Daily Cash Counting Record and submit to Accountant for Review
- Contact clients for overdue balance collection
- Support month-end closing processes by reconciling Input Tax Credits (ITCs)
- Assist in preparing Daily Financial Briefing, Monthly, Quarterly and Annual Report
- Assist in Building Financial Dashboard using Data Visualization Tools
- Other Ad-hoc tasks assigned by the Accountant

2. HR Support

- Review employee punching records and maintain employee's attendance and overtime records

3. Office Support

- Maintaining Service Account and Log-in Credential Ledgers




- Coordinate business travel affairs for employees, including flight and hotel booking
- Other Ad-hoc tasks assigned by the Operation Manager

Qualifications:

- Bachelor’s degree in Accounting, Finance, Business Administration or other related fields
- Experience in Accounting, Finance, Administration, or related fields (preferred); OR a proven quick learner
- Experience with automation, data analysis or programming is a plus
- Familiarity with ERP systems (NetSuite preferred) and accounting softwares (QuickBooks) is a plus
- Proficiency in Microsoft Excel is a MUST
- Strong organizational and multitasking skills
- Strong problem-solving skills and proactive mindset
- Comfortable working in a fast-paced workplace
- Attention to detail and accuracy
- Ability to work independently with minimal supervision
- Strong communication skills (Written and Verbal) in English
- Chinese (Mandarin) is a strong plus
