Reports to: Practice Operations Manager
Objective and Scope The Client Services & Processing Administrator is the primary client-facing presence at the front of the office while also providing investment-processing and administrative support. The role creates an exceptional client experience through welcoming, professional interactions and accurate administrative and transaction processing while collaborating across the administrative team.
Responsibilities
- Serve as the personable and professional first point of contact for clients and visitors to the office.
- Answer incoming phone calls, respond to client questions within the scope of the role and direct inquiries appropriately.
- Build robust relationships with clients and contribute to an approachable, responsive and high-quality client experience.
- Build a strong understanding of processing responsibilities to provide reliable coverage.
- Complete financial and administrative processing accurately with a high level of attention to detail.
- Move effectively between client interactions, phone calls, administrative responsibilities and detailed processing work while maintaining accuracy.
- Learn and work within evolving wealth-management systems, forms, terminology, processes and platform requirements.
- Support the broader administrative team by sharing responsibilities, assisting colleagues and providing coverage where needed.
Requirements
Experience and Education
- Post-secondary education or certificate,
ideally in Office Administration or a related field.
- Previous client service and/or administrative experience.
- Experience in financial services, banking, investments or wealth management is considered a strong asset.
- Previous investment or mutual fund processing experience is considered an asset.
- IFC, CIFC or CSC education/licensing is considered an asset but is not required.

- Provides responsive and attentive client service while ensuring clients feel valued and supported.
- Maintains a high level of attention to detail and accuracy when completing administrative and financial processing.
- Moves effectively between client interactions, phone calls, processing responsibilities and competing priorities without losing focus.
- Works collaboratively, supports colleagues and learns responsibilities across the team to provide effective coverage when needed.
- Adapts to new systems, terminology and processing requirements as processes and responsibilities evolve.
Compensation
- Salary is $50,000–$60,000
- Full benefits, RRSP matching, vacation, on site gym and parking.
- 8:30 a.m. to 4:30 p.m., Monday to Friday, with occasional flexibility for events, seminars, or personal needs. The firm often works until noon on Fridays in the summer.
