As our organization continues to grow, we are looking for an experienced and highly engaged Clinic Operations Manager to lead the day-to-day operations of our clinic and support our team in delivering an exceptional experience for every patient.
The Opportunity
Reporting to senior leadership, the Clinic Operations Manager is responsible for the successful day-to-day operation of the clinic, including team leadership, patient experience, workflow management, operational performance, quality improvement, and administrative oversight.
This is a hands-on leadership position. The successful candidate will be visible and engaged within the clinic, understand what is happening across departments, proactively identify operational challenges, and work alongside the team to ensure patients receive safe, efficient, and compassionate care.
The Clinic Operations Manager will play an important role in creating a workplace where employees understand expectations, feel supported in their roles, and are accountable for delivering a consistently high standard of service.
Key ResponsibilitiesTeam Leadership & Performance
· Provide day-to-day leadership, direction, coaching, and support to clinic staff.
· Foster a positive, respectful, collaborative, and accountable workplace culture.
· Ensure employees understand their roles, responsibilities, workflows, and performance expectations.
· Monitor individual and team performance, including established KPIs and service standards.
· Conduct regular staff check-ins, performance discussions, coaching, and development planning.
· Support employee onboarding, training, competency development, and ongoing education.
· Coordinate staffing and clinic coverage to ensure operational needs are consistently met.
· Address employee concerns and performance issues professionally, consistently, and in collaboration with senior leadership when required.
· Facilitate effective communication between administrative, technical, clinical, physician, and leadership teams.
Clinic Operations
· Oversee daily clinic operations and ensure workflows run safely, efficiently, and consistently.
· Monitor appointment schedules, patient flow, staffing requirements, clinic capacity, and operational priorities.
· Identify workflow gaps, delays, bottlenecks, and opportunities for improvement.
· Ensure established policies, procedures, SOPs, and operational standards are followed.
· Support the implementation of new programs, services, technologies, and operational processes.
· Maintain appropriate clinic supplies and coordinate operational requirements with vendors and service providers.
· Escalate significant operational, staffing, clinical, safety, or patient concerns appropriately.
· Work collaboratively with senior leadership to achieve organizational and departmental goals.
Patient Experience

The Clinic Operations Manager will:

Quality, Safety & Compliance
· Support compliance with applicable healthcare, privacy, occupational health and safety, and regulatory requirements.
· Ensure staff follow established privacy, confidentiality, infection prevention, safety, and documentation standards.
· Participate in quality assurance and continuous quality improvement initiatives.
· Support incident reporting, investigation, follow-up, and implementation of corrective actions when required.
· Maintain appropriate operational documentation and ensure required records are complete and current.
· Promote a culture where patient safety, employee safety, quality, and accountability are shared responsibilities.
Performance & Continuous Improvement
· Monitor operational and patient-service KPIs and work with staff to achieve established targets.
· Analyze clinic performance and identify trends, risks, and improvement opportunities.
· Develop action plans when performance falls below expectations.
· Recognize that performance metrics are one component of success and must be considered alongside patient complexity, operational circumstances, teamwork, quality, and patient experience.
· Support the development and refinement of workflows, policies, procedures, and operational tools.
· Participate in clinic growth initiatives and help operationalize new programs and partnerships.
What We’re Looking For The ideal candidate is an experienced healthcare leader who combines strong operational skills with genuine empathy for patients and employees.
Qualifications
· Minimum 3–5 years of progressive experience in healthcare operations, clinic management, medical administration, or a comparable healthcare leadership role.
· Previous experience supervising or managing employees in a healthcare environment.
· Diploma or degree in healthcare administration, business administration, health sciences, nursing, medical office administration, or a related discipline is preferred.
· Experience within diagnostic imaging,
medical specialty services, hospital operations, or another regulated clinical environment is considered an asset.
· Demonstrated experience managing clinic workflows, staffing, patient service, and operational priorities.
· Strong understanding of patient confidentiality, privacy, documentation, and healthcare professionalism.
· Experience with EMR/RIS/PACS or comparable healthcare information systems is an asset.
· Experience working within British Columbia’s healthcare environment is an asset.
