Communications and Administration Coordinator
Job Posting
: The Communications and Administration Coordinator is responsible for supporting the office operations of West End and Coal Harbour Community Centres. This position reports directly to the Executive Director.
Qualifications:
· 3+ office work experience is mandatory
· Marketing and communications work experience is an asset
· Additional work experience in grant writing, fundraising, non-profit fields is an asset.
· Knowing additional languages is an asset
· Knowledge of ActiveNet is an asset
· Expert in client’s online database, Microsoft Office, Canva.
· Experience working with non-profit organizations, local government, Vancouver School Board, and community partners
Office Management Responsibilities
1. Maintain an organized office, adequately stocked, with an orderly filing system and filing up-to-date.
2. Order supplies for office, marketing and organizational purposes.
3. Provide all aspects of office support for WECCA operations, including phone answering, mail, equipment maintenance, etc.
4. Renew and maintain business license, insurance records, etc.
5. Maintain all organizational records online and in paper copy.
6. Maintain and keep records of employee and instructor contracts.
7. Assist and support bookkeeper with any financial documents and reports
8. Assist and support with annual audit
9. Other related duties as required.
Board Support Responsibilities
1. Manage correspondence and messaging for the President and Board members.
2. Schedule and prepare for Board meetings.
3. Compile documents for the Board meetings.
4. Maintain and distribute a calendar of events.
5. Support with Board engagement.
6. Provide support to the Board President and each committee chair for effective committee operations.
7. Assist with preparations for the Annual General meeting and for orientation of new Board members.
8. Support with job postings and recruitment of Board members.
9. Arrange for Director and staff training as determined.
10. Attend Membership and Marketing Committee meetings.
11. Other related duties as required.
Executive Director Support
1. Support Executive Director with office operations.
2. Support and organize WECCA events such as Rockin’ in the Park, Staff Holiday party, volunteer appreciation event, etc.
3. Support with job postings and recruitment of staff.
4. Assist with grant applications
5. Undertake special projects as directed by the Executive Director and the Board.
6. Other related duties as required.
Communication Responsibilities
1. Keep up to date communications through Facebook. Instagram and X WECCA accounts.
2. Creating marketing posts and materials through Hootsuite and Canva.
3. Creating surveys through SurveyMonkey.
4.
Update and monitor the readerboard information for WECCA marketing purposes.
5. Monitor the WECCA Website to ensure it’s up to date and the information is correct.
6. Create and distribute monthly membership newsletter
7. Accept new WECCA membership applications, contact new members and provide them with current volunteer opportunities
8. Post and review volunteer opportunities.
9. Communicate with volunteers, coordinate volunteer engagement and monitor volunteer shifts.
10. Communicate and support WECCA employees, Parks Board staff and volunteers.
11. Other related duties as required.
Conditions: · Work location: West End Community Centre at 870 Denman street, Vancouver BC
· Flexibility due to evening meetings and special events
· Sick Time: 12 per year, once a month
· Statutory Holiday: Paid

· Vacation time 3* weeks* per year
· RRSP contributions 7.5% monthly
Rate of Pay:
· Dependent on experience and qualifications, from $54,600 to $60,060 per annum
Work Schedule:
· 35 hrs per week, Monday to Friday (bank hours and take time in lieu if overtime ie. Special events, meetings etc)
