PRIMARY FUNCTION

Reporting to the Director of PSQR, this position plays a key role in advancing organizational excellence by supporting program-level quality improvement initiatives, strengthening the patient and family voice, and contributing to a culture of safety.

The Coordinator is responsible for managing organizational patient experience surveys, including coordinating implementation with vendors and internal teams, monitoring response rates and data quality, maintaining dashboards, and facilitating follow up with programs. In addition, the role supports patient safety activities by assisting with incident reviews, patient safety and quality improvement activities, working collaboratively with clinical and corporate teams to implement improvement initiatives, monitor performance and serve as a backup administrator for the SAFE reporting system. By combining survey oversight with patient safety support, this position helps ensure that patient feedback and safety learnings drive meaningful improvements across KHSC.

RESPONSIBILITIES & DUTIES INCLUDE:

Coordinate the implementation and administration of organizational patient experience surveys. Duties include:

- Stay current with OHA survey releases and share relevant updates with organizational leaders.
- Coordinate with ITS, OHA vendors, and program leadership for implementation of new surveys.
- Facilitate the development and analysis of patient experience metrics, as well as working with internal stakeholders to implement and manage real-time patient experience surveys.
- Monitor data transfers to OHA and review benchmarking reports for accuracy and completeness.
- Act as the primary liaison with programs to share feedback, analyze survey results, and prepare reports and presentations for leaders and committees.
- Monitor survey response rates and dashboards, troubleshoot issues to optimize participation,



and ensure dashboards are maintained with timely and accurate information.NOTE - The above duties are representative but are not to be construed as all-inclusive.
- The Coordinator will support program-level quality improvement initiatives and also contribute to corporate initiatives stemming from patient experience and patient relations, while assisting with the planning, implementation, and monitoring of improvement projects across the organization.
- They will also assist in conducting patient safety incident reviews as assigned, with a focus on targeted reviews of incidents, and contribute to the development of recommendations and communications for the programs, while supporting safety awareness activities and patient safety team initiatives.
- Support the patient safety reporting system, act as a backup administrator for the SAFE system, and work closely with the data analyst to conduct data analysis and prepare summary reports.

BASIC QUALIFICATIONS

- University degree in Health Sciences, Business Administration, Social Sciences, or equivalent
- 3 years of considerable position related experience required
- Experience with Patient Safety and quality improvement would be an asset
- Quality Improvement and Change Management Certifications would be an asset
- Quality Improvement (QI) methods – ability to plan, implement, and monitor QI initiatives
- Data analysis & reporting – skilled in interpreting survey results, benchmarking, and preparing reports/presentations.
- Patient safety knowledge – understanding incident review processes, safety alerts, and lessons learned communications.
- Survey coordination & administration – experience managing patient experience surveys (design, deployment, monitoring).
- Technical troubleshooting – resolving IT/data transfer issues (e.g., with OHA, Qualtrics portals, dashboards).




- Project coordination – managing multiple initiatives, timelines, and stakeholder involvement.
- Communication & facilitation – engaging staff, committees, and external partners in safety and QI work.
- Collaboration & relationship building – working effectively with internal leaders, staff, and external vendors.
- Problem-solving & critical thinking – addressing challenges in data accuracy, survey response rates, and QI adoption.
- Adaptability & flexibility – adjusting approaches to varied program contexts and evolving organizational priorities.
