Position Overview:
Canada Fortune Group Inc. is seeking a highly organized and detail-oriented Documentation Coordinator to join our team. The successful candidate will be responsible for preparing, reviewing, organizing, and maintaining documentation related to shipments, logistics, customers, vendors, and day-to-day business operations.
This position requires strong communication skills, accuracy, organization, and the ability to manage multiple priorities in a quick-paced environment.
Key Responsibilities
- Prepare and review shipping and logistics documentation.
- Prepare and maintain Bills of Lading (BOL), invoices, packing/weight documents, booking confirmations, and other shipment paperwork.
- Coordinate documentation with trucking companies, shipping lines, warehouses, customers, and vendors.
- Verify that shipment information is complete and accurate before submission.
- Maintain organized electronic and physical records for all shipments and transactions.
- Follow up with customers and vendors regarding missing or outstanding documentation.
- Track shipment documentation and ensure paperwork is completed within required deadlines.
- Assist with container bookings, pickup information, delivery documentation, and shipment confirmations.
- Prepare and send professional emails to customers, suppliers, carriers, and other business partners.
- Coordinate with the accounting and logistics departments when documentation is required for invoicing or payment.
- Maintain confidentiality of company, customer, and financial information.
- Perform general administrative and documentation duties as required.
Qualifications
- Previous experience in documentation, logistics, transportation, freight forwarding, shipping, import/export, or administration is preferred.
- Strong knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to organize and maintain multiple files and records.
- Ability to prioritize tasks and meet deadlines.
- Comfortable communicating with customers, vendors, trucking companies, and shipping partners.
- Ability to work independently as well as part of a team.
- Experience with international shipping documentation is considered an asset.
Job Types: Permanent, Full-time Pay: $17.60-$18.00 per hour
