Executive / Administrative Assistant
Employment Type: Part-Time to Start, with Potential for Full-Time

About the Role
We are seeking a highly organized, intelligent, reliable, and motivated Executive / Administrative Assistant to provide direct administrative and business support to a management consultant who oversees and advises multiple businesses in the service industry.
This is an excellent opportunity for someone who enjoys working in a fast-paced, multi-business environment, is comfortable handling confidential information, has strong attention to detail, and can independently manage a variety of administrative, financial, organizational, and communication-related tasks.
The position will begin on a part-time basis, with the potential to transition into a full-time position based on performance, business needs, and mutual suitability.
The ideal candidate should have excellent English communication skills, strong mathematical and analytical abilities, good computer skills, and basic knowledge of bookkeeping/accounting.
Key ResponsibilitiesExecutive & Administrative Support
- Provide day-to-day administrative and executive support to the management consultant.
- Manage calendars, appointments, meetings, reminders, and schedules.
- Prepare correspondence, letters, reports, presentations, spreadsheets, and other business documents.
- Organize and maintain electronic and physical records and documentation.
- Assist with coordinating activities across multiple businesses.
- Follow up on outstanding tasks, requests, appointments, payments, and deadlines.
- Maintain organized records and ensure important information is easily accessible.
- Assist with preparing meeting agendas, notes, action items, and follow-ups.
- Conduct research and gather information as requested.
- Handle confidential business and financial information with professionalism and discretion.
Business & Operations Support
- Assist with monitoring and coordinating administrative activities across multiple service-based businesses.
- Track projects, assignments, deadlines, and operational matters.
- Communicate with clients, employees, vendors, contractors, and other business contacts when required.
- Assist in preparing quotations, invoices, statements, proposals, and other business documents.
- Maintain databases, spreadsheets, contact lists, and business records.
- Help identify outstanding issues and bring them to the attention of management.
- Assist with improving administrative systems, procedures, and workflow.
Bookkeeping & Financial Administration
- Assist with basic bookkeeping and accounting-related administrative tasks.
- Record and organize income, expenses, invoices, receipts, and payments.
- Maintain basic financial spreadsheets and transaction records.
- Assist with accounts payable and accounts receivable tracking.
- Reconcile basic financial information and identify discrepancies.
- Assist in preparing financial summaries and reports for management.
- Communicate with accountants, bookkeepers, financial institutions, and vendors when required.
- Maintain organized documentation for accounting and tax purposes.
Note: The role does not necessarily require formal accounting qualifications; however, practical knowledge of bookkeeping, accounting principles, spreadsheets, and financial record-keeping would be a significant advantage. Communication & Correspondence
- Draft, proofread, and edit professional emails, letters, notices, reports, and other correspondence.
- Communicate professionally with clients, employees, vendors, and business partners.
- Handle telephone calls and inquiries professionally.
- Ensure written communications are grammatically correct, clear, concise, and professional.
- Follow up on communications and ensure matters are brought to appropriate completion.
Required Skills & Qualifications The successful candidate should have:
- Excellent English language skills, both written and verbal.
- Strong mathematical and numerical abilities with excellent attention to detail.
- Strong communication and interpersonal skills.
- Basic knowledge of bookkeeping and accounting principles.
- Excellent organizational and time-management skills.
- Strong computer skills and confidence using Microsoft Office, particularly Excel, Word, Outlook, and related business software.
- Ability to work with spreadsheets, numbers, financial information, and business records accurately.
- Ability to multitask and prioritize competing responsibilities.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional attitude and appearance.
- Ability to work independently with minimal supervision.
- Willingness to learn and take on additional responsibilities as the role develops.
- Reliable, punctual, dependable, and highly organized.
Preferred Qualifications The following would be considered strong assets:
- Previous experience as an Executive Assistant, Administrative Assistant, Office Administrator, Business Assistant, or similar position.
- Bookkeeping, accounting, payroll, or financial administration experience.
- Experience working with multiple businesses, departments, or clients.
- Experience in a professional services or consulting setting.
- Knowledge of accounting or bookkeeping software such as QuickBooks, Xero, Sage, or similar platforms.
- Advanced Microsoft Excel skills.
- Experience preparing business reports, spreadsheets, and financial summaries.
- Post-secondary education in Business Administration, Accounting, Finance, Management, or a related field.

Ideal Candidate The ideal candidate is someone who can become a trusted right-hand administrative and business support personto the management consultant. This is not simply a data-entry or routine administrative position. The successful candidate will be expected to understand instructions quickly, work with numbers and information accurately, communicate professionally, recognize priorities, follow up on outstanding matters, and gradually take greater responsibility for administrative and business-support functions.
