- Organise information, documents, meeting materials and follow-up requirements.
- Maintain accurate and accessible organisational records and electronic filing systems.
- Help track administrative, reporting and compliance requirements and deadlines.
- Prepare bank deposits, record donations, complete credit card reconciliations and prepare information for the organisation's accountant.
- Assist with grant applications, documentation, deadlines and reporting.
- Provide administrative coordination for our Mindful Munchies school food program, including ordering, documentation and communication with participating schools.
- Provide front-office support by answering phones, greeting visitors and responding to general inquiries.
- Assist with routine social media posts and basic website updates.
- Pitch in with other administrative and organisational needs as part of a small, collaborative team.
Who We're Looking For You may be a good fit if you:
- Are highly organised and have strong attention to detail.
- Like knowing where information is and how to find it.
- Are resourceful and willing to figure things out.
- Communicate clearly and professionally.
- Are comfortable managing several priorities and recurring deadlines.
- Have strong computer skills and are comfortable learning new software and systems.
- Can work independently while knowing when to ask questions.
- Handle confidential information with discretion and good judgement.
- Are dependable and follow through on commitments.
- Enjoy being part of a small team where people help one another when needed.
- Want to use your skills and experience in work that makes a meaningful contribution to the community.
Experience & Education Post-secondary education in office administration, business administration or a related field is preferred,
but an equivalent combination of education and experience will be considered.
Previous administrative, office or executive support experience is an asset. Experience with financial administration, reporting, information management or grants would also be helpful, but we do not expect every candidate to have experience in all of these areas.
Hours & Schedule
This is a full-time, 35-hour-per-week position, with regular hours Monday to Friday from 8:00 a.m. to 4:00 p.m. Occasional evening or weekend work may be required to support special events or other organisational needs.
