About Whitby Dance Company

Whitby Dance Company (WDC) is a community-focused dance studio dedicated to empowering, inspiring, and developing dancers of all ages and abilities. We are looking for a warm, organized, energetic, and highly personable Front Desk Admin to join our team and become an important part of the WDC experience.

The admin is often the first person a family sees when they walk through our doors. This role is about much more than answering phones and completing administrative tasks — it is about creating an environment where every dancer, parent, and visitor feels welcomed, valued, supported, and part of the WDC family.

The Role The admin is the face of Whitby Dance Company. You will be responsible for creating exceptional first impressions, building strong relationships with our families, supporting daily studio operations, and ensuring our front desk and lobby reflect the professionalism and welcoming culture of WDC.

The ideal candidate is someone who genuinely enjoys working with children and families, is confident communicating with people, is highly organized, takes initiative, and thrives in a fast-paced, team-oriented environment.

Key Responsibilities

Front Desk & Customer Experience

- Welcome every dancer, parent, prospective family, and visitor warmly and professionally.
- Build genuine relationships with our dancers and families and learn dancers' names and their parents/guardians.
- Answer phones, emails, and day-to-day parent inquiries.
- Prioritize in-person customer service and relationship building whenever families are in the studio.
- Provide tours of the facility to prospective families.
- Register new students and assist families through the enrollment process.
- Complete designated steps of WDC's enrollment process.
- Communicate important studio information clearly and consistently.
- Ensure every person who walks through our doors feels welcomed and valued.
- Support teachers,



and directors in daily tasks

Studio Administration

- Confidently navigate WDC's software and administrative systems.
- CC appropriate staff members on relevant communications.
- Ensure the front desk is stocked with current flyers, information, and seasonal materials.
- Maintain a clean, organized, and professional lobby and front desk area.
- Complete daily studio checks, including supplies and Lost & Found.
- Complete opening/closing responsibilities as required.
- Troubleshoot basic issues with the studio music system.
- Clock in and out accurately each shift.

Community & Family Engagement

- Help build strong loyalty and relationships among current WDC families.
- Support initiatives designed to encourage student retention and new student enrollment.
- Send monthly birthday cards/emails to students.
- Coordinate and maintain the Student of the Month program, including sending signs home.
- Help create a positive and connected studio community.
- Represent the values and culture of Whitby Dance Company in every interaction.

Team Support & Studio Operations

- Assist with last-minute operational changes, including substitute teacher coverage and class combinations.
- Communicate changes to appropriate staff and families.
- Be flexible and willing to support coworkers when needed.
- Maintain a secure and welcoming environment for students, families, and staff.
- Continuously learn and develop expertise in the role.
- Support supervisors and teammates in a way that contributes to a positive and collaborative workplace.

Previous experience in customer service, administration, childcare, education, recreation, dance, or a similar environment is an asset.
