General Manager Assistant – Construction / Interior Renovation

Company Overview

We are a growing company specializing in construction, renovation, and interior design services. We are seeking a highly organized, responsible, and execution-focused General Manager Assistant to support the General Manager in daily operations, internal communication, documentation, and management follow-up.

This position requires strong coordination skills, attention to detail, and the ability to ensure that management instructions and assigned tasks are properly communicated, tracked, and completed.

Key Responsibilities

- Provide day-to-day administrative and operational support to the General Manager.
- Prepare, organize, review, and maintain company documents, reports, correspondence, meeting materials, and internal records.
- Communicate instructions, decisions, and priorities from the General Manager to relevant departments and team members.
- Follow up on management instructions and assigned action items to ensure they are completed accurately and on time.
- Track outstanding tasks, deadlines, and deliverables, and provide regular updates to the General Manager.
- Coordinate communication between the General Manager and departments including construction, project management, interior design, procurement, accounting, and administration.
- Organize and attend internal meetings, take meeting minutes, document decisions, and follow up on action items.
- Assist with project-related documentation, schedules, contracts, change orders, purchase documents, and other administrative records.
- Assist the General Manager in reviewing project status, operational issues, and departmental progress.
- Manage calendars, appointments, meetings, correspondence,



and other administrative arrangements for the General Manager.
- Assist with client, vendor, subcontractor, and internal team communication when required.
- Maintain organized and confidential company records and management documents.
- Assist with recruitment, onboarding, and other administrative or operational tasks as assigned.
- Perform other duties and special projects assigned by the General Manager.

Required Qualifications
- Minimum 3 years of administrative experience in the construction, renovation, interior construction, or interior design industry is REQUIRED.
- Candidates without at least 3 years of relevant construction or interior renovation administrative experience may not be considered.
- Fluent in both English and Chinese (Mandarin), verbally and in writing, is REQUIRED.
- Strong understanding of construction or renovation office administration, project documentation, and coordination processes.
- Strong follow-up and execution skills, with the ability to track multiple assignments and ensure tasks are completed.
- Excellent organizational and time-management skills with strong attention to detail.
- Ability to prioritize multiple tasks and work effectively in a fast-paced construction workplace.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.




- Ability to work independently, take initiative, identify outstanding issues, and follow through without constant supervision.
- Professional, responsible, reliable, and able to handle confidential information appropriately.

Preferred Qualifications
- Previous experience supporting a General Manager, Construction Manager, Project Manager, or senior management team.
- Experience with construction contracts, purchase orders, change orders, project schedules, invoices, or project documentation.
- Experience coordinating between office staff, project managers, site teams, subcontractors, suppliers, and clients.
- Diploma or degree in Business Administration, Construction Management, Project Management, or a related field is an asset.

You should be comfortable receiving instructions from the General Manager, communicating them clearly to the appropriate team members, monitoring progress, identifying delays or outstanding issues, and following up until the assigned tasks are completed.

Pay: $50,100.00-$93,424.02 per year
