Aeon Future Health

Calgary

Aeon Future Health is growing, and we're looking for an adaptable, people-first Guest Experience Coordinator to join our mission of helping people optimize their health and reverse their biological clock by bringing innovative, evidence-backed longevity treatments to Canada.

This is a floater role — you'll move between our fitness floor, front desk, and other areas, helping wherever the day needs you most. Some hours you'll be greeting patients and managing check-ins at reception; others you'll be supporting our Fitness & Recovery team on the floor. No two days will look exactly the same, and that's the point: we need someone who can read a room, shift gears quickly, and jump in without being asked twice.

More than a specific skill set, we're looking for the right person — someone with genuine initiative, a knack for picking up new systems and tasks quickly, and the flexibility to support multiple areas of the clinic as priorities change throughout the day.

About the Role

As our Guest Experience Coordinator, you'll be a familiar, steady presence across the clinic. At the front desk, you'll welcome patients, manage check-ins and bookings, and keep things running smoothly during busy stretches. On the fitness floor, you'll support our Fitness & Recovery team — helping members get set up, keeping the space organized, and pitching in with day-to-day tasks as directed.

Because you'll be working across multiple different areas of the clinic, this role calls for someone who can multitask without losing their composure, notice what a space or a patient needs before being told, and stay versatile when the schedule or priorities shift.

You'll be trained across both areas, so a willingness to learn new tools and processes on the fly matters more than prior experience in either one specifically.

Responsibilities and Duties

- Greeting patients and members warmly as the first point of contact at reception, both in person and by phone.
- Managing check-ins, bookings, and rescheduling using Aeon's scheduling and EMR systems (training provided — Accuro, Mindbody).
- Supporting the Fitness & Recovery team on the floor — helping members get oriented, assisting with equipment setup, and keeping the space clean and organized.
- Reading the flow of the clinic and shifting between reception and fitness support as needed, without being asked twice.
- Answering general patient questions and directing more complex inquiries to the appropriate team member.
- Maintaining a tidy, welcoming front desk and fitness area throughout each shift.
- Picking up new systems, tools, and light administrative tasks quickly as the role evolves.
- Remaining compliant with Aeon's standards of safety and patient care, and actively participating in training and team meetings.
- Maintaining a qualified appearance.

Qualifications and Skills

- Strong multitasker who can comfortably juggle competing priorities across two different areas of the clinic.

- Reads the room — naturally picks up on what a patient, member, or teammate needs in the moment.
- Flexible and adaptable with schedule and daily tasks; comfortable with a role that shifts day to day.
- Self-starter with genuine initiative — jumps in and helps without waiting to be asked.
- Fast learner with a knack for picking up new systems, tools, and processes quickly.
- Friendly, warm, and professional demeanour — a genuine people person.
- Comfortable working both independently and as part of a close-knit team.
- Prior experience in customer service, fitness, hospitality, or a health/wellness setting is an asset, but not required — we're looking for the right attitude first.
- Reliable, punctual, and able to commit to a flexible schedule.
