Qualifications
- Post secondary education (degree or certificate) is required.
- University degree, bachelor’s degree in marketing, Science related field, Education, Event Planning or related field is preferred.
- 2+ years in a support role with a strong focus on event management and execution is required.
- Healthcare compliance and/or relevant business experience is required.
- Excellent analytical skills with the ability to develop and implement comprehensive event strategies.
- Experience managing cross functional partners and external vendor relationships is required, providing guidance and oversight to ensure the efficient and effective execution of events.
- Ability to work effectively in a matrixed, fast-paced deadline-driven environment is required.
- Strong digital acumen including event management tools and platforms is preferred.
- Experience managing contracts as well as experience with payments and budget management is required.
- French Bilingual is considered strong asset.
- Up to 5% of business travel (Canada and US) will be required.
Position Summary The Professional Education Operations Associate will work closely with the Vision Care Professional Education Manager to provide administrative and operational support, ensuring all educational programs run seamlessly. They will provide support for a wide range of Professional Education initiatives and activities including live and virtual customer events, conferences and webinars. They will be responsible for the smooth functioning of all programs helping with the contracting, scheduling, Veeva approval, execution and post event documentation. They will support the greater Vision Care Canada Franchise by being point-of-contact for contract and payment management. The individual will have superior organization and strategic thinking skills. They will collaborate with internal teams and key stakeholders to ensure compliant documentation practices, strategic time management,
and maximum operational efficiencies on professional education events.
Key Responsibilities
- Program Coordination: Manage and maintain end-to-end operations of educational engagements. Liaise with internal teams and external collaborators to ensure they have relevant information for successful engagements. (30%)
- Contracts and Accounting: Manage all payments and contracts related to the Vision Care Franchise (Marketing, Professional Education, Key Accounts, Commercial Excellence). Provide cross coverage when required. (30%)
- Compliance and Documentation Coordination: Responsible for the complete life cycle of all Professional Education events for Vision Care Canada, managing audit files including helping to identify, write, submit and report on all funded initiatives. Maintain a comprehensive database of all engagements conducted and upcoming opportunities, including creating and disseminating relevant documentation to attendees. (20%)
- Resource and Digital tools Management: Using innovative digital tools and platforms to run programs. Booking Audio-visual and ensuring all material is consistent, approved for viewing and adheres to company guidelines. (10%)
- Data Management and Analysis: Manage post-event evaluations, certificate dissemination, to continuously improve event processes and measure the impact of professional education events on the Franchise’s overall goals and objectives. (10%)
- Work collaboratively as an active member of the Franchise to stay up to date on the latest trends and best practices in medical education events and make recommendations for continuous improvement.
- Manage the project management system to track the progress of all events and ensure compliance.
