We work with a dynamic team across BC, AB, and ON and are looking for a highly organized and detail-oriented HR Coordinator to support our growing team.
Role Overview
HR Coordinator | Mortgage Industry | BC/AB
Full time, in-person role supporting HR, payroll, recruitment, compliance, employee administration, and team engagement for a growing mortgage brokerage. Ideal for someone with 1–3 years of experience in HR, payroll, recruitment, or financial services administration who wants to grow into a broader HR role.
Key Responsibilities
HR & Recruitment
- Coordinate recruitment activities, including job postings, candidate screening, interview scheduling, and follow-ups.
- Assist with onboarding new employees, brokers, and agents.
- Coordinate employment, licensing, and onboarding documentation.
- Maintain accurate and confidential employee and broker records.
- Support HR policies, processes, and employee communications.
- Assist with offboarding and transition processes.
- Act as a point of contact for general HR and administrative inquiries.
Payroll & Benefits
- Coordinate and process payroll accurately and on schedule.
- Maintain payroll and employee compensation records.
- Assist with benefits administration and employee inquiries.
- Coordinate with accounting/bookkeeping on payroll-related matters.
Broker & Team Support
- Support the onboarding and integration of new brokers and agents.
- Coordinate training, meetings, interviews, and internal communications.
- Support broker events, masterminds, training sessions, and team initiatives.
- Help maintain strong team engagement.
Compliance & Documentation
- Maintain broker licensing and regulatory documentation.
- Assist with compliance tracking and internal audits.
- Ensure required documentation is collected, organized, and up to date.
- Support compliance requirements across BC, AB, and ON as applicable.
Billing & Commission Support
- Assist with monthly brokerage billing and payment tracking.
- Support commission and payout calculations, splits, and reconciliation.
- Coordinate with brokers and accounting/bookkeeping regarding payment and commission inquiries.
- Maintain accurate records of outstanding payments and payouts.
Process Improvement & Systems
- Identify opportunities to improve HR, onboarding, and administrative workflows.
- Help create and maintain SOPs for recruitment, onboarding, compliance, and internal processes.
- Assist with CRM and workflow automation using tools such as Velocity, Zoho, Filogix, and other platforms.
- Maintain organized digital records and ensure processes are consistently followed.
Must-Have
- Minimum 1 year of experience in HR, payroll, recruitment, or financial services administration.
- Experience with payroll processing and employee records.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to manage multiple priorities.
- Comfortable handling confidential employee and financial information.
- Experience with recruitment, onboarding, and HR documentation.
Nice-to-have (asset only):
- CRM experience (Velocity, Filogix, Zoho)
- Familiarity with BCFSA/RECA/FSRA specifically
