Position Title: Intake & Outreach Assistant Report to: Program Manager or Designate Locations : NEW locations, satellite and itinerant service locations, partner sites and community locations across the GTA.

Number of openings: 2 Hourly Rate: $21.50 Hours : Full-time, In person, 35 hours per week, Monday to Friday. This position also requires working outside of regular operational hours including evenings and weekends.

Position Summary The Intake & Outreach Assistant supports NEW’s client recruitment, community outreach, intake and registration activities. The position works primarily in the community, including at satellite and itinerant service locations, partner sites, community events and other outreach locations, to increase awareness of NEW’s programs and connect individuals with appropriate services.
The position promotes NEW’s programs and services, recruits prospective clients, conducts initial intake and registration, delivers program information sessions, responds to inquiries and supports referrals to appropriate programs and staff.
The Intake & Outreach Assistant also conducts outreach to community organizations, employers and other stakeholders to generate leads, strengthen community awareness and identify opportunities to connect individuals and organizations with NEW’s services.
Key Responsibilities
- Community Outreach and Client Recruitment
- Conduct community outreach at satellite and itinerant service locations, community organizations, libraries, schools, employment centres, businesses, community events and other identified locations.
- Promote NEW’s programs and services to prospective clients and community members.
- Proactively engage community members to identify individuals who may benefit from NEW’s programs and services.
- Recruit prospective clients and support them through the initial registration and service connection process.
- Conduct and facilitate information sessions, presentations and orientations about NEW’s different programs and services, including program eligibility, available supports and registration processes.
- Distribute promotional materials and support information booths, outreach tables, community presentations and promotional activities.
- Respond to general questions regarding NEW’s programs and provide clear and accurate service information.
- Follow up with prospective clients who express interest in programs and support their registration or connection to the appropriate staff member.
- Support outreach activities intended to increase awareness of NEW and expand access to services within diverse and underserved communities.
- Intake, Registration and Referrals
- Conduct initial client intake and registration at NEW offices, satellite locations, itinerant service sites, partner locations and community outreach activities.
- Collect basic client information and required documentation in accordance with program requirements.
- Assist clients in completing registration and intake forms.
- Enter and update client information accurately in applicable databases, CRM systems and registration systems.
- Provide clients with basic information about program eligibility and available services.
- Identify client needs at the initial point of contact and connect or refer clients to the appropriate NEW program or staff member for further assessment and service.
- Schedule appointments, information sessions and program activities as required.
- Provide appointment and session reminders and follow up with clients regarding outstanding documentation or registration requirements.
- Maintain accurate and confidential client records in accordance with organizational policies and procedures.
- Employer and Community Outreach
- Conduct outreach to local employers, businesses, community organizations, service providers and other stakeholders to introduce NEW and promote relevant programs and services.
- Identify prospective employers and community partners that may be interested in NEW’s programs, services, hiring initiatives, events or partnership opportunities.
- Generate employer and community partner leads and connect interested organizations with the appropriate NEW staff member for further follow-up and relationship development.
- Provide basic information to employers and community organizations regarding NEW’s employment, settlement, training and other relevant programs.
- Maintain records of employer, partner and community outreach contacts and activities.
- Support community referral relationships that increase access to NEW’s programs and services.
- Represent CURRENT professionally and positively when working in the community.
- Satellite and Itinerant Services
- Provide front-line intake, registration and program information at designated satellite and itinerant service locations.
- Serve as a point of contact for community members accessing NEW services at off-site locations.
- Ensure required forms, program information, promotional materials and outreach supplies are available at satellite and community service locations.
- Maintain regular communication with program staff regarding client inquiries, registrations, referrals and follow-up requirements.
- Assist in identifying community needs, service gaps and outreach opportunities observed while working at satellite and community locations.
- Outreach Tracking and Administrative Support
- Maintain accurate records of outreach activities, client leads, registrations, referrals, employer contacts and community partner contacts.
- Track basic outreach results, including individuals reached, clients recruited, registrations completed, information sessions delivered, employers contacted and community organizations engaged.
- Provide outreach and intake activity information to the supervisor as required.
- Assist with preparing outreach materials, information packages, registration materials and supplies.
- Support the set-up and take-down of outreach booths, information tables and community activities.
- Assist with telephone, email and in-person inquiries related to programs and services.
- Provide general administrative support related to intake, outreach and community service delivery.
- Perform other related duties as assigned.
Minimum Requirements
- College diploma and relevant training in community services, settlement services, social services, business administration or a related field or an equivalent combination of education and relevant experience.
- Minimum of one (1) year of experience in community outreach, customer service, intake, settlement, employment services or another related front-line environment is preferred.
- Experience working with newcomers, immigrants, refugees, women, youth or other diverse communities is an asset.
- Comfortable approaching, speaking with and engaging members of the public in community settings.
- Strong interpersonal, communication and customer service skills.
- Ability to present information clearly to individuals and small groups and facilitate basic program information sessions.
- Basic understanding of community services and referral processes.
- Good organizational skills and attention to detail.
- Basic computer skills, including Microsoft Office, email and data entry systems.
- Ability to accurately enter and maintain client and outreach information in databases or CRM systems.
- Ability to maintain confidentiality and handle client information appropriately.
- Ability to work independently at community and satellite locations while collaborating effectively with program staff.
- Ability and willingness to travel regularly between NEW locations, satellite sites, partner organizations and community locations across the GTA.
- Flexibility to occasionally work evenings and weekends based on outreach and community activities.
- Fluency in additional languages is an asset.
Working Conditions This is a community-facing and mobile position. The employee will work from a combination of NEW offices, satellite and itinerant service locations, partner sites, community organizations and outreach events across the GTA. Regular local travel is required, and the position may occasionally require work outside regular operating hours, including evenings and weekends.
