About the Clinic

Yonge Urgent Care Clinic is a busy walk-in / urgent care and family medicine clinic located in the heart of downtown Toronto. We provide high-quality, efficient medical care 7 days a week and are building a reputation for excellent patient experience, organized operations, and professional standards.

We are looking for a full-time Receptionist / Medical Administrative Assistant who is friendly, highly organized, and able to keep a fast-paced clinic running smoothly.

Position Overview The Receptionist / Medical Administrative Assistant is the first point of contact for our patients and plays a key role in:

- Creating a warm, professional first impression at the front desk
- Managing patient flow and clinic schedules
- Supporting physicians with accurate charting and OHIP billing
- Ensuring the clinic runs efficiently and in line with PHIPA and infection-control standards

This role is ideal for someone with previous medical office / clinic experience who enjoys working with people, can multitask under pressure, and pays close attention to detail.

Key Responsibilities

Front Desk & Patient Experience
- Greet patients in a professional, welcoming manner and check them in efficiently
- Register new patients, verify health cards and demographics, and update patient information in the EMR
- Answer phones, emails, and walk-in inquiries; provide clear information about clinic hours, services, and processes
- Manage waiting room flow; communicate expected wait times and support a calm, respectful environment
- Handle sensitive patient information with discretion and in accordance with PHIPA

Scheduling & Clinic Flow

- Book, confirm, and adjust appointments for walk-in and family practice patients
- Coordinate room usage and patient movement to keep physicians’ schedules running on time
- Prioritize urgent cases appropriately and alert clinical staff when a patient requires urgent attention
- Liaise with pharmacy, labs, imaging centres,



and other external providers as needed

EMR, Documentation & OHIP Billing

- Use the clinic EMR (e.g. Oscar Pro/Well EMR/PS Suite or similar) to:
- Create and update patient charts
- Attach/scanning documents, lab reports, referrals, and imaging results
- Enter and verify billing codes accurately; assist with OHIP submissions and reconciliation
- Assist with managing recalls, follow-up lists, and test result tracking according to clinic protocols
- Generate basic reports or lists from the EMR when requested by physicians or management

Administrative & Operational Support

- Collect, record, and reconcile payments for uninsured services, private insurance, and other fees
- Maintain front-desk supplies (forms, labels, cards, printer paper/toner) and assist with stock checks for medical supplies
- Support physicians in preparing forms, referrals, letters, and requisitions
- Assist with onboarding forms and orientation for new patients
- Participate in staff meetings and contribute suggestions to improve clinic workflow and patient experience

Clinical Support (if trained & permitted by clinic policy)

- Take basic vitals (blood pressure, temperature, weight, etc.) when requested
- Prepare examination rooms between patients (tidy, restock, easy cleaning as per infection-control policy)
- Assist with vaccination workflow (forms, consent, documentation, vaccine log entries)

Qualifications

Required

- 1–2 years of experience in a medical clinic, urgent care, family practice, or similar healthcare setting




- Strong computer skills and comfortable working with EMR systems (Oscar/Well EMR/PS Suite/OceanMD or similar)
- Excellent communication skills in English – clear, professional, and patient-focused
- Solid understanding of PHIPA and confidentiality requirements
- Proven ability to multitask in a busy environment, prioritize effectively, and stay calm under pressure
- High attention to detail and accuracy in data entry, scheduling, and billing

Assets (Preferred but Not Mandatory)

- Experience with OHIP billing and reconciliation
- Previous experience in an urgent care / walk-in clinic with high patient volume
- Formal training in Medical Office Administration, Health Administration, or a related field

Schedule & Compensation

- Full-time position; evening and weekend availability is required
- Shifts will be scheduled within clinic operating hours (urgent care extended hours)
- Competitive hourly rate, commensurate with experience
