Medical Office Assistant (MOA) – Busy ENT Specialist Clinic

We are a fast paced and patient focused ENT (Ear, Nose & Throat) specialist clinic seeking a highly organized, compassionate, and detail oriented Medical Office Assistant to join our growing team. The ideal candidate thrives in a busy clinical environment, multitasks efficiently, and provides exceptional customer service to patients and healthcare providers.

Responsibilities

- Greet and check in patients in a professional and friendly manner
- Answer and manage high volumes of phone calls, emails, and patient inquiries
- Schedule, confirm, and coordinate specialist appointments and follow ups
- Manage referrals from family physicians and other healthcare providers
- Prepare and organize patient charts, referrals, and medical documentation
- Accurately enter and update patient information in EMR systems
- Coordinate diagnostic testing, specialist procedures, and surgical bookings
- Fax, scan, upload, and file medical reports and requisitions
- Process billing and assist with MSP/private insurance documentation when needed
- Maintain communication with physicians, nurses, pharmacies, and allied health professionals
- Assist physicians with clinic flow and ensure examination rooms are prepared
- Prepare, clean, disinfect, sterilize,



and process ENT examination and procedural equipment according to clinic infection control protocols
- Monitor inventory and restock medical and procedural supplies as needed
- Handle sensitive patient information with strict confidentiality
- Maintain cleanliness and organization of reception and clinical areas
- Support administrative and operational tasks to ensure smooth daily clinic operations

Qualifications

- Strong knowledge of medical terminology
- Excellent communication and interpersonal skills
- Strong multitasking and time management abilities
- Ability to work efficiently under pressure in a fast paced setting
- Professional, reliable, and team oriented
- Experience with surgical bookings and referrals is an asset
- speak mandarin or Cantonese is an asset

Job Types: Full-time, Part-time

Pay: $17.95-$35.00 per hour
