Position: Production Coordinator
Category: Full Time
Contract Reports to: Director of Production
Location: BaAM Office/Remote Hybrid
POSITION SUMMARY The Production Coordinator works with project teams throughout project development – from pre-production, on-site, and as part of project close-out – to carry out Production & Delivery deliverables. They are a tactical resource, especially knowledgeable in the planning required for project teams to mobilize to site. As an administrative professional with multi-disciplinary production skills and experience in the live event industry, the Production Coordinator manages details with precision while remaining adaptable and solution-oriented in the face of challenges.
MAJOR DUTIES AND RESPONSIBILITIES
- Support the development of project budgets, project schedules and other project paperwork by collecting technical information from Production Managers, Project Managers, Project Finance, Client representatives, and external suppliers and partners, ensuring that project objectives are met and BaAM standards are maintained.
- Support Supplier Managers via document and drawing review, cataloging supplier deliverables, and completing assigned supplier follow up. Maintain positive relationships with all suppliers and
- Work with the Creative team to ensure budgets and production processes are aligned with creative
- Assist members of the Production and Delivery team with organizational deliverables (i.e. project updates, debrief notes, resource requests, etc.) as well as administrative tasks as needed (i.e. expense reports, meeting notes, company reporting, etc.)
- Monitor and track production progress and deliverables, reporting back to project
- Support the development and distribution of all on-site paperwork systems including daily logs, health and safety planning / training, etc.
- Participate as assigned in warehouse work (i.e. inventory, shop prep,
CAD preparation, etc.) and on-site duties (i.e. assisting production management, working with suppliers, coordinating with the venue, etc.)
- Treat all information with a high level of professionalism and
- Follow BaAM’s Health & Safety Policy on site, at the BaAM Shop and in the

BACKGROUND AND EXPERIENCE
- A demonstrated understanding of entertainment and/or events with more than 2 years of experience in the live experience industry
- A demonstrated ability to read, understand, and contribute to site plans and detail drawings; AutoCAD and other formats
- An understanding of design and fabrication processes
- Demonstrated ability to work with 3rd party contractors, and suppliers
- Work experience in an administrative function in a formal office environment, with a demonstrated understanding of the importance for organization and structured systems and processes
- Experience in development and management of project budgets
- Experience or interest in sports would be beneficial
- Excellent interpersonal skills, self-motivated - ability to work alone or as part of a team
- Strong communication and time-management skills
- An excellent working knowledge of office software applications; Microsoft Suite, Smart Sheet, Teams, Zoom & NetSuite.
EDUCATION AND TRAINING
- Post-Secondary degree or diploma in Project Management, Business Management, Event Management or a related field
PHYSICAL DEMANDS
- Long periods of sitting and computer work during design and planning phases
- Site work may involve extended periods of standing and walking
- Lifting of up to 50 pounds may be required
OTHER REQUIREMENTS
- To be available to travel as required on a project-by-project basis
- When required, must be willing to work flexible schedule, including evenings and weekends to support project and production schedule deadlines
- Valid Ontario Driver's License would be an asset
