SUMMARY

We are seeking a highly organized and detail-oriented Project Administrator to support our Project Management and Operations teams on infrastructure rehabilitation projects. This role will focus primarily on client invoicing and progress billings, including tracking project quantities, production, labour hours, completed work, change orders, and supporting documentation. The successful candidate will work extensively in Microsoft Excel to maintain project trackers, reconcile data, and prepare accurate invoicing support.

Additional responsibilities include reviewing and entering employee timecards and supporting Project Managers with project reporting and administration. The ideal candidate is highly proficient in Excel, comfortable managing large volumes of data, and able to maintain accuracy while working in a fast-paced project environment.

RESPONSIBILITIES

- Provide full administrative and project support to the project management team, operations, safety, and others.
- Track, enter, and maintain detailed production quantities, labour hours, equipment usage, material quantities, and project costs using Microsoft Excel and company project management systems




- Track production quantities and completed work to support customer invoicing and progress billings.
- Prepare and submit customer invoices based on completed quantities, contract requirements, and project milestones.
- Create, maintain, and update complex Excel spreadsheets and trackers to monitor project production, quantities, labour, costs, invoicing, and project progress.
- Analyze and organize large volumes of project data while maintaining accuracy and attention to detail.
- Review and enter employee timecards and payroll information, ensuring accuracy and timely submission.
- Track and manage project documentation such as RFIs, submittals, permits, change orders, and project drawings/specifications.
- Assist with cost tracking by monitoring purchase orders, vendor invoices, and billing against project budgets.
- Prepare, review, and submit various internal reports and project updates.
- Assist with data entry and updates in project management tools, including Primavera P6 and InEight.
- Maintain document control standards for all incoming and outgoing correspondence and records.

QUALIFICATIONS · Post-secondary education in Business Administration, Project Management, or a related field preferred.

· Minimum of 2 years of experience in an administrative, contract administration, or project administrator role, construction or engineering industry preferred.

· Advanced proficiency in Microsoft Excel is required. The successful candidate must be comfortable working with large amounts of data, creating and maintaining detailed spreadsheets,



tracking quantities and costs, and preparing reports.

· Strong working knowledge of Excel functions such as formulas, lookups, pivot tables, filtering, sorting, and data analysis is strongly preferred.

· Experience with invoicing, payroll/timecard entry, quantity tracking, or production reporting is strongly preferred.

· Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with Primavera P6 and InEight is a strong asset.

· Strong written and verbal communication skills.

· Exceptional organizational skills and attention to detail.

· Ability to manage multiple tasks, meet deadlines, and work both independently and collaboratively in a team environment.
