The Senior Cash Application Specialist is responsible for leading the organization’s cash application processes and ensuring the timely and accurate application of customer payments. This role serves as the subject matter expert for cash receipts and customer payment processing, supporting the integrity of accounts receivable records and maintaining robust internal controls. In addition to performing complex cash application activities, the Senior Cash Application Specialist provides training, guidance, and day-to-day support to team members, supports process improvement initiatives, and serves as an escalation point for payment exceptions, unidentified receipts, and other complex customer payment issues.
Responsibilities
- Act as the primary subject matter expert for cash application processes and related systems
- Provide training, coaching, and onboarding support Cash Application Coordinators and other team members as required
- Review cash application activities for accuracy and completeness, identify training opportunities, and provide guidance on complex transactions and reconciliations.
- Serve as the escalation point for unidentified, misapplied, disputed, or high-value customer payments. Identify opportunities to improve cash application processes, controls, and efficiencies, and assist management with the development and maintenance of related procedures and training materials
- Support testing, implementation, and continuous improvement of banking, AR, and ERP system enhancements
- Assist management with coordinating daily cash application activities, prioritizing workloads, and providing guidance to team member
- Support month-end and year-end close activities related to cash receipts, accounts receivable reconciliations, and audit requests.
- Apply customer payments (cheques, wire transfers, e-transfers, EFT, credit cards, lockbox and PADs)
to the appropriate accounts in Trux or Sage
- Process lockbox payment files and run pre-authorized debits (PADs) as needed, generate reports, and review for any exceptions
- Reconcile daily cash receipts and resolve discrepancies between bank deposits and system record
- Maintain accurate records of cash applications, adjustments, and reconciliations, and prepare related reports and metrics for management review
- Perform other duties and special projects as assigned
Requirements:
- Minimum 5 years of experience in accounts receivable, cash application, banking operations, or a similar finance rol
- Post-secondary education in Accounting, Finance, Business Administration, or a related field preferred
- Demonstrated experience training, mentoring, or providing guidance to team member
- Demonstrated ability to investigate and resolve complex payment exceptions, account reconciliation issues, and unidentified cash receipts
- Experience with Sage Intacct, Trux, or other similar ERP system preferred
- Strong understanding of cash application processes, banking transactions, lockbox operations, EFTs, wire transfers, credit card processing, and PADs
- Advanced Excel skills, including reconciliation and data analysis
- Strong analytical and problem-solving skills with exceptional attention to detail. Excellent communication and interpersonal skill
- Positive attitude and adaptable to change within a rapidly growing organization
