Position Summary: The Tender Desk, part of the Corporate Commercial Development Department, leads all tender and bid management activities. The team is responsible for coordinating and executing commercial excellence initiatives, transformation projects, and special assignments to optimize the tendering process and drive commercial efficiency.
This role directly supports volume and revenue growth by ensuring high-quality, compliant tender submissions, in alignment with strategies set by the principal Trade Management team at our global headquarters in Geneva, Switzerland.
Level of Responsibility
- Operates under moderate supervision with autonomy in managing tender processes.
- Accountable for accuracy, compliance, and timeliness of all tender submissions.
- Expected to make decisions within defined guidelines and escalate complex issues when necessary.
- Acts as a key liaison between internal teams and global headquarters for tender-related matters.
Key Responsibilities Tender Management
- Effectively manage the tender process, ensuring all Pre-Qualification Questionnaires, legal documents, and tender responses are produced to the highest standard, with absolute accuracy and timely submission every time.
- Respond to all tender inquiries originating from both Canadian and U.S.-based customers.
- Manage tender preparation as a project, tracking and coordinating contributions from other teams.
- Maintain a repository of best-in-class responses and continuously raise the bar for quality in submissions.
Collaboration & Continuous Improvement
- Collaborating with stakeholders across all departments to ensure the tender is submitted on time and meets the highest quality standards, while also promoting ongoing improvements in the tendering process and submission quality.
- Maintain relationships with key individuals internally (Sales, Trade, Legal) and externally (Customers).
- Consult with GVA Legal to review legal portions of bids,
prepare documents for FMC filing, and ensure contractual processes are in order.
Strategic & Commercial Focus
- Ensure MSC’s value proposition is clearly reflected in written submissions, focusing on areas that maximize scoring potential.
- Monitor new opportunities released into the market and liaise with business partners to determine bid participation.
- Partner with contracting and strategy teams to ensure optimal handover of tenders for implementation and gather insights for future bids.
Tracking & Reporting
- Track tenders through their lifecycle, from pre-tender to award and beyond.
- Record business intelligence and win/loss information to support continuous improvement efforts.
- Attend tender debrief meetings to gather insights and feedback.
- Maintain accurate records of outcomes and analysis for continuous improvement.
- Prepare and maintain reports (e.g., Power BI dashboards, upcoming tender reports, Performance monitoring and Volume management PBI) and data for TMS filing.
Ad Hoc Projects
- Assist with special projects and automation initiatives focused on enhancing commercial efficiency in relation to tenders and contracts.
- Collaborate with operational teams (such as vessel operations, billing, IT, etc.) and coordinate with Commercial teams to achieve overall goals for quotes and tenders.

- Undergraduate degree required; graduate degree preferred in Business, Commerce, Supply Chain, or related field.
- Minimum 5 years of transportation/logistics experience, including 3 years in ocean transportation.
- Ability to work effectively in a fast-paced environment and manage multiple projects and meet tight deadlines.
- Detail-oriented with a high level of accuracy.
- Proficiency with Microsoft Office Suite (Excel, PowerPoint, etc.) and Power BI for reporting and analytics.
- Ability to create reports and visualize data effectively to support decision-making.
- Solid analytical skills (market and competitor analysis).
- Commercial mindset with industry/business understanding.
- Project management skills, including organization and time management.
- Ability to influence and collaborate across a matrix organization, strong interpersonal and networking skills.
- Results-oriented with a continuous improvement mindset.
- Effective written and verbal communication and presentation skills.
- High agility for change and strong sense of urgency.
