At Arvanitis & Associates, Dentistry by Design in Waterloo, we are looking for a warm, organized, and patient-focused Patient Care Coordinator to join our growing dental team. This role is ideal for someone who enjoys building meaningful relationships with patients, coordinating their care, and creating a welcoming experience from the first point of contact. Key Responsibilities
Welcome patients and provide a warm, professional experience at every visit.
Answer phones, respond to patient inquiries, and manage appointment scheduling.
Schedule new patient consultations, hygiene appointments, treatments, and follow-ups.
Follow up with patients regarding outstanding treatment, appointments, and referrals.
Verify patient information and maintain accurate records.
Assist with dental insurance inquiries, estimates, pre-authorizations, and billing coordination.
Coordinate effectively with dentists, hygienists, dental assistants, and the administrative team.
Help patients understand their treatment options, appointment requirements, and financial arrangements.




Handle patient concerns with empathy, professionalism, and a solutions-focused approach.
Maintain patient confidentiality and follow all office policies and privacy requirements.
Support the overall efficiency and positive culture of the dental practice.

What We're Looking For
Previous experience in a dental office preferred.
Excellent communication and interpersonal skills.
Strong organizational skills and attention to detail.
Professional, positive, and compassionate personality.
Ability to multitask and remain calm in a busy environment.
Comfortable using computers, scheduling software, and electronic patient records.

Experience with Dentrix is an asset.
Robust ability to work independently as well as part of a team.
Experience with dental insurance and treatment coordination.
