About Beth Tikvah Foundation of Hamilton

Beth Tikvah is a non-profit developmental services agency dedicated to providing residential, community integration, and independent living supports to adults with developmental disabilities. We are seeking a detail-oriented, proactive, and tech-savvy Systems and Scheduling Administrator to manage our organizational scheduling logistics and core databases.

Role Overview

Reporting to the Director of Services, you will be the administrative driver behind our daily and long-term scheduling framework. You will optimize master rotations, secure relief coverage, and maintain database integrity across our scheduling and compliance platforms (ComVida, Surge, and AIMS).

Key Responsibilities

- Workforce & Master Scheduling: Build, maintain, and optimize daily, weekly, and 6-week master rotations within ComVida.
- Shift Coverage & Call-Outs: Coordinate shift call-outs, fill urgent vacancies, and secure relief coverage in compliance with organizational policies and Collective Agreement provisions.
- Requests & Leave Tracking: Process and track time-off requests, shift exchanges, and leaves of absence.
- Database & Compliance Management: Audit mandatory staff training via Surge, update client/operational records in AIMS, and audit database accuracy across platforms.
- Payroll Alignment & Reporting: Input and audit daily hours worked and schedule variances to support seamless payroll processing. Generate regular vacancy and scheduling analytics for leadership.

Qualifications & Experience

- Education:



Post-secondary diploma or degree in Business Administration, Human Resources, or a related field (minimum 2-year program).
- Experience: 1–2 years of experience managing complex scheduling rosters and workforce databases, preferably within a multi-location, unionized, or healthcare/developmental services setting.
- Software Proficiency: Strong proficiency with workforce scheduling software and databases; hands-on experience with ComVida, AIMS, or Surge is considered a strong asset.
- Key Skills: Exceptional organizational ability, sharp attention to detail, calm problem-solving skills under time-sensitive shift demands, and strong qualified communication skills.

Pay: $20.00-$23.00 per hour
