About the role
We are seeking a highly organized, professional, and proactive Executive Coordinator to provide executive support to the Chief Electoral Officer (CEO), Executive Committee, and Senior Management Team. This is an exciting prospect to work closely with Elections BC's executive leadership team and contribute to the effective administration of British Columbia's electoral system.
The Executive Coordinator manages high-priority correspondence, supports meetings and engagements, and ensures the smooth delivery of executive services across the organization. They manage the CEO's calendar, travel, briefing materials, correspondence, and administrative priorities. They support the Executive Committee and Senior Management Team through meeting coordination, minute-taking, and correspondence tracking. They coordinate engagement with government partners, interest-holders, and electoral jurisdictions, and lead and support corporate initiatives related to executive services, protocol, and inter-jurisdictional activities.

Elections BC has a hybrid work model where staff are supported to work a minimum of 3 days per week in the Victoria office and up to 2 days from home, when operationally feasible. All staff work in office full time during electoral events. Given the operational nature of this role, the Executive Coordinator is expected to work in-office a minimum of 4 days per week during non-event periods.
Job Requirements
To be considered for this position, you must legally be eligible to work in Canada. Eligibility to work in Canada is granted through citizenship,
permanent resident status, or a work permit.
Education and experience:
Completion of a bachelor’s degree from a recognized post-secondary institution and one-year *related experience, OR an equivalent combination of education and experience, for example:
Diploma in a related discipline and two years of *related experience; OR
Certificate in a related discipline and three years of *related experience; OR
A minimum of five years of *related experience.
* Related experience must include :
Performing administrative and client services in a highly professional and busy office environment involving executive-level stakeholders.
Dealing with confidential and sensitive issues.
Using Microsoft Office suite (Outlook, Word, Excel) and Adobe Acrobat to prepare and distribute high-quality skilled documents.
Using collaboration tools such as Microsoft Teams, and other common office software.
Preference may be given to applicants with:
Previous experience working for Elections BC and/or r elated experience in electoral administration
Experience using CLIFF correspondence tracking software.
Experience working with senior leadership in an administrative and support role.
Experience with business writing and executive correspondence.
Demonstrated experience with event/meeting planning.
