About the Chance
We’re hiring an Executive Assistant to support a Director of Philanthropy within a mission-driven non-profit organization. This is a unique opportunity to become a trusted partner to a relationship-focused leader, helping bring structure, organization and momentum to a growing fundraising presence across Western Canada.
Working from a small Vancouver office, you’ll collaborate closely with colleagues across Canada while supporting donor engagement, fundraising activities and intimate events. Your Responsibilities
You’ll manage the Director’s day-to-day administrative needs, helping prioritize competing demands and keep commitments moving forward.
You’ll coordinate donor meetings, reservations, correspondence and follow-ups with a polished, service-oriented approach.
You’ll prepare fundraising materials and ensure information and resources are ready when and where they’re needed.
You’ll maintain accurate donor records, meeting notes and fundraising activity within the organization’s CRM.
You’ll support small donor events of approximately 40 to 50 attendees across Western Canada.
You’ll provide light project management support across fundraising initiatives and collaborate with colleagues across multiple time zones.
You’ll provide additional administrative support as needed, adapting to evolving priorities
Skills and Qualifications
3+ years of administrative experience required, ideally supporting senior leaders or multiple executives.
Strong organizational skills with the confidence to bring structure, prioritize tasks and proactively guide next steps.
Excellent written and verbal communication skills, including confidence interacting professionally with donors and senior stakeholders.
Strong technical aptitude and the ability to learn new systems quickly, with CRM experience like Raiser’s Edge systems experience considered an asset.
High attention to detail and comfort with accurate, consistent data entry.
A positive, curious and autonomous working style, with a willingness to ask questions and learn.
Flexibility to attend occasional evening events and travel to Calgary on rare ocassions, with travel expenses covered.
