We are recruiting a Travel Coordinator to join our team. This is a Sherwood Park-based, office position responsible for coordinating travel, camp accommodations, and mobilization requirements for employees and subcontractors assigned to the project. The Travel Coordinator will serve as a key point of contact for project personnel, ensuring that travel and camp arrangements are organized efficiently and that new hires complete all required onboarding and project approval steps before mobilization to site. The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Strong communication skills and the ability to work closely with project management and field supervision are essential.
Responsibilities
Coordinate flight bookings, accommodations, camp bookings, and other travel arrangements for employees and subcontractors travelling to and from the Firebag project.
Coordinate travel schedules to ensure personnel arrive at site as required and support project manpower requirements.
Manage changes, cancellations, delays, and other travel-related issues as they arise.
Coordinate and track employee and subcontractor mobilization requirements.
Assist new hires through the onboarding process and ensure all required steps are completed before mobilization to the Firebag project.
Ensure required documentation, training, orientations, and project approvals are completed and recorded.
Communicate mobilization requirements, travel details, and expectations clearly to new and existing project personnel.
Maintain accurate records of personnel travel, camp bookings, mobilization status, and project approvals.
Work closely with project management, field supervision, and other internal departments to coordinate manpower movements.
Liaise with travel providers, camp personnel, and other third-party service providers as required.
Monitor upcoming travel and mobilization schedules to identify and address issues before they impact the project.
Provide timely updates to project leadership regarding travel and mobilization status.
Respond to urgent travel and mobilization requirements during the designated after-hours on-call period.
Maintain confidentiality when handling employee and project information.
Perform other administrative and coordination duties as required.
Requirements
Previous experience in travel coordination, workforce coordination, project administration, logistics, or a similar administrative role.
Experience coordinating travel, accommodations, camp bookings, or employee mobilization is considered an asset.
Strong organizational and time-management skills with exceptional attention to detail.
Ability to manage multiple schedules, bookings, and priorities simultaneously.
Strong communication and interpersonal skills.
Proficient with Microsoft Office, including Outlook, Excel, and Teams.
Ability to work independently while maintaining solid communication with project teams.
Ability to work effectively in a fast-paced environment with changing priorities.
Strong problem-solving and decision-making skills.
Ability to handle sensitive and confidential employee information appropriately.
Previous experience supporting oil and gas, construction, or industrial projects is considered an asset.
Experience working with large-scale project mobilizations is considered an asset.
Must pass a pre-employment drug and alcohol test including cannabis
