Job Summary The Warranty/Shipping Admin is in charge of photo documentation of all defects on units for authorization from companies to submit/complete the necessary warranty claims. This individual is to ship all authorized parts out daily, ensuring proper method of transport and packaging, along with all correct shipping instructions. This will include defective claims being sent back to vendors. They are required to communicate with all departments for their shipping needs.

Duties and Responsibilities:

- Take all pictures of defects in units
- Warranty parts for Keystone must be returned weekly
- Sort and keep parts returned neat and tidy
- Make up registrations for demo personnel - register with company when unit is sold
- File all T# work orders, parts invoices
- File Freedom Road contract sheets
- Entering expiry date on IDS for Freedom Road contracts
- Complete Freedom Road claims
- Update the flat rate manuals for techs
- Fax all delivery inspection sheets
- Transfer all T# pictures over to customer names at end of the season




- Make all order cards needed giving a work order number
- File all component sheets in binder
- Work closely with technicians to ensure enough information has been gathered to order parts correctly. This includes asking for photos, extra measurements or an explanation of how the part works in order to get the best understanding of each part.
- Fill out special order cards neatly and accurately with ALL pertinent customer information. Include a graphic description of parts needing to be ordered along with measurements, colours, placement on the trailer and photographs (when needed).
- Ship all authorized parts out daily, ensuring proper method of transport and packaging, along with complete and correct shipping instructions. This will include defective claims being sent back to vendors. You will be required to communicate with all departments for their shipping needs.
- Keep a log of all outgoing shipments. Include the date sent, company name, bill of lading number and courier service used.
- Perform all jobs in a timely manner
- Perform other duties as assigned by management.

Qualifications

- Previous administrative, warranty, parts, or experience is an asset.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Strong computer skills and ability to learn new systems and software.
- Ability to understand technical information, measurements, photographs, and parts descriptions.
- Strong problem-solving skills and ability to manage multiple priorities.
- Ability to work independently and as part of a team in a fast-paced environment.
- Qualified, dependable, and customer-focused.
- Ability to safely handle, package, and move parts as required.
