The MDS Coordinator reports to the Manager, Clinical Coding & Data Quality Manager and works collaboratively with all members of the Leadership Team and Clinical Leaders. They are responsible for leading and coordinating all aspects of the Resident Assessment Instrument (RAI) (MDS/RAPs/RUGs). The MDS Coordinator ensures accuracy of data and distribution of data within the timelines mandated by the government.
Responsibilities Meet the mandated reporting requirements of the Ministry of Health and the CIHI-IRRS (InterRAI Reporting System)
Coordinate all required interRAI per the Ministry of Health and CIHI regulations to ensure timely completion
Timely transmission of all required patient assessment data per CIHI guidelines
Prepare overall MDS assessment schedule
Monitor MDS activities on the Units and alert appropriate parties to deadlines requiring attention to ensure timely completion
Prompt/alert MDS – Assessors (staff) when a change of condition MDS needs to be initiated
Audit MDS to ensure accuracy and consistency
Notify the Manager of any barriers to timely, accurate completion and/or transmission of interRAIs
Collaborate with Clinical Leaders, Clinical Educators and Directors
Supervise the data entry clerk, ensuring data quality in MDS data
Revise and make necessary modifications of information gathering tools and team processes to enhance assessment accuracy and efficiency
Revise standardized methods of collecting data when needed
Revise/ interdisciplinary role statements when required
Develop procedural guidelines
Develop communication networks with the Ministry of Health, Canadian Institute of Health, USA facilities with experience with the Classification System, other rehabilitation and chronic care facilities, and local agencies such as the Placement Coordination
Play pivotal role in implementing the use of RAP, Outcome Measure and Quality indicator in day-to-day patient care
Promote the use of Clinical Information housed in MDS assessment for daily patient care decision making
Facilitate accuracy in assigned Resource Utilization Group (RUG) for each patient by providing regular feedback to the coders
Conduct data quality audits to ensure data accuracy and integrity
Provide coverage for NRS Coordinator vacation and other absences
Education Develop and provide educational workshops for the interdisciplinary team members and primary assessors for both current and new employees
Develop and update resource materials
Provide user training and support
Support assessors with their learning needs for both the clinical assessments and online skills
Act as a resource regarding the assessment tool content and process requirements
Act as a resource regarding utilization of the computer software program which supports the classification system
Provide education and support to management staff in the use of clinical data
Computer – software support Assess computer software suitability, assist in acquisition of software if/when required
Lead configuration and testing of upgrades and updates in Winrecs and EPIC
Support of LIVE implementation
Liaise and collaborate with the MIS department for resolution of software issues
Ongoing troubleshooting and support for staff
Identify needs and request appropriate custom reports (NPR) as necessary
Ensure assessors have MDS online access and the appropriate authorization
Maintain current list of all assessors’ access
Daily monitoring of ADT-EPIC information transfer via the interface
Submission of relevant clinical information to the Ministry P erform and/or ensure audit for the entire quarter in preparation for the submission to CIHI
Supervise submission of data to ensure all pertinent records are received by the government within the mandated timelines
Ensure required corrections are completed and the data is resubmitted to the government
Qualifications Bachelor of Science in a clinical discipline required
Member of a Health Discipline required
Previous bedside experience preferred
Previous experience in a leadership position preferred
Project management experience preferred
Self-motivated and ability to work independently
Strong organizational skills
Excellent interpersonal communications skills and ability to build effective working relationships with staff
Extensive knowledge in the use and operation of word-processing, spreadsheets, and electronic medical record systems (EPIC, Winrecs, 3M, etc.)
Knowledge of adult leaning principles and ability to facilitate education and training
Maintain up to date knowledge regarding Ministry of Health and CIHI guidelines relative to the interRAI process and CMIs
Evaluate own needs for career development to maintain high level of competence and practice
Demonstrate complex decision-making ability, creative problem-solving skills, and critical thinking skills
Experience in project evaluation preferred
Recommend software enhancements to improve processes/function
Knowledgeable in rehabilitation assessment tools, such as the National Rehab Reporting System (NRS)
