Project Administrator - Fort McMurray Region

Stuart Olson is seeking an experienced Project Administrator to support our ongoing maintenance division in the Fort McMurray region. This is an office-based role providing high-level administrative and billing support to our regional teams. The ideal candidate brings deep experience in maintenance and turnarounds and thrives in high-demand, fast‑paced environments.

Key Responsibilities

As a Project Administrator, you will provide advanced administrative and billing support, including:

Systems & Data Management

- Utilize client and contractor systems including SAP, Maximo, Track, Cortex, Fieldglass, and CRM‑based platforms.
- Support LEM entry and invoice processing, ensuring accuracy and timely submission.
- Ensure accurate onboarding/offboarding documentation.

Team & Site Support

- Complete daily billing support to the sites in the region.
- Daily audits and balancing of time entry and project costs.
- Communication with field supervisors, site administrators, and cost controls to ensure data accuracy.
- Support general site administration and contribute to continuous improvement of TA administrative processes.

Qualifications:

- High school diploma required; post‑secondary education in administration or business is an asset.




- 2+ years of administrative experience in industrial or construction environments.
- Advanced MS Word and Excel skills (tracking, reporting, reconciliation).
- Experience with SAP, Fieldglass, Track and/or Maximo.
- CSTS 2020 and H2S Alive (Energy Safety Canada).
- Strong organizational and time‑management abilities, with the capacity to handle shifting priorities and high‑pressure deadlines.
- Excellent communication, relationship‑building, and problem‑solving skills.
- Demonstrated professionalism, confidentiality, accuracy, and attention to detail.
- Self‑motivated, cooperative, and able to work independently when required.
- Ability to pass a pre‑access Drug and Alcohol test.
