Homeowner Services Coordinator Full Time Schedule / Shift: Monday – Friday; Days; 37.5 hours per week Who We Are Habitat for Humanity Greater Ottawa is a registered Canadian charitable organization that brings communities together to help familiesbuild homes, communities and hope. In support of our homebuilding operations, Habitat Greater Ottawa operates a retail home improvement store called Habitat ReStore, which sells donated home furnishings, appliances, and renovation materials, with all proceeds helping us build more homes for local families.

The Homeowner Services Coordinator works closely with the Homeowner Services Manager to scale the organization and increase the number of families served per year and is a energetic and highly motivated member of Habitat Greater Ottawa’s team.
As part of a growing, supportive, and extremely collaborative team, the Homeowner Services Coordinator will believe in Habitat Greater Ottawa’s vision of a world where everyone has a decent place to call home. Reporting to the Homeowner Services Manager, the Homeowner Services Coordinator provides administrative support to the Housing Development Department and plays an important role in supporting Habitat homeowners throughout their homeownership journey.
Key Responsibilities As the successful candidate you will:
Assist with maintaining and updating Homeowner Services application forms, evaluation criteria, policies, procedures, and other departmental documentation.
Support the collection and management of data for prospective applicants and existing Habitat homeowners.
Create, organize,
and maintain digital files for newly approved homeowners using Habitat's online software systems.
Coordinate and track the Annual Income Review process.
Manage the Annual Mortgage Statement process.
Work closely with the Finance team to process payment changes, banking updates, and other homeowner account requests.
Provide French-English translation support to the Homeowner Services Manager, applicants, and homeowners.
Facilitate presentations in both languages.
Assemble and maintain digital training materials and onboarding resources for Habitat homeowners.
Assist with a variety of homeowner-related administrative tasks as required.
Prepare agendas, record meeting minutes, and track action items for departmental meetings.
Provide administrative support to the Housing Development department as needed.
Coordinate and follow up on Tarion New Home Warranty requests in collaboration with the Build Team.
Perform additional duties and special projects as assigned.
Knowledge and Skills Required
A passion for Habitat for Humanity's mission and the ability to represent the organization positively within the community.
Degree or diploma in business, non-profit, or administration considered an asset.
Excellent organizational and administrative skills with exceptional attention to detail.
Strong verbal and written communication skills in both English and French.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Presentation and facilitation skills an asset.
Strong computer and database management skills; experience with CRM or database systems is considered an asset.
The ability to work independently while managing multiple priorities in a fast-paced environment.
Familiarity with new home building processes and documentation an asset.
An understanding of and respect for diverse cultures, backgrounds, and communities.
Experience working in a non-profit, affordable housing, or social services environment is considered an asset (2-3 years).
Previous administrative experience in a fast-paced office workplace is considered an asset.
A valid driver's licence and access to a reliable vehicle are considered assets.
Bilingualism (English and French) is required (language proficiency CEFR Level B1).
Working Conditions
The successful candidate is expected to work/live in Ottawa and/or the surrounding area.
Due to the nature of this role, the incumbent must be available to work onsite at 3 Iber Road. Parking is available at no cost. Due to the nature of the organization, it can be expected at times to travel to the office, ReStores, and our build site.
The salary band for this role is between $41,000.00 and $45,000.00 per annum based on experience. Habitat Greater Ottawa also offers a comprehensive health benefits plan, vacation and flexible personal days.
