Finance & Office Coordinator
to join our team. This is an entry-level role split between structured financial tasks (the majority of your time) and keeping our office running smoothly day to day. We'll train you on our specific systems and processes, so what matters most is the accuracy and organization you bring with you.
So what kind of person fits the role? Someone who's detail-oriented and reliable, and who doesn't let either side of the role slip when priorities compete. A person who's just as comfortable double-checking a reconciliation as they are greeting a client at the door, and who takes pride in keeping things running smoothly behind the scenes.
Key Responsibilities: Transaction Processing & Data Entry
Process and accurately record accounts payable, accounts receivable, and expense entries
Assist with invoice generation, tracking, and follow-up
Ensure all financial transactions are entered into systems with precision and on time
Support proper documentation of receipts, invoices, and payments
Reconciliation & Compliance Support
Assist with monthly reconciliation of expense accounts and bank transactions
Identify discrepancies and flag them for Finance Manager review
Assist with GST tracking and documentation
Support preparation of materials for regulatory reporting
Payroll & Cross-Functional Finance Support
Support payroll processing activities
Assist with preparation of Records of Employment and T4 documentation
Maintain accurate employee-related financial records
Support Operations and leadership with basic financial data requests
Client & Guest Experience
Greet and welcome clients and visitors in a professional and friendly manner
Prepare meeting rooms, including refreshments and required materials
Coordinate and deliver client welcome packages and gifts
Office Operations & Administrative Support
Maintain a clean, organized, and welcoming office environment, fully stocked with supplies
Manage vendor relationships, including cleaning, maintenance, and IT
Support travel arrangements for internal staff
Coordinate sourcing and purchasing of office furniture, supplies, and equipment
Manage incoming and outgoing mail, deliveries, and courier services
Support internal events and maintain organized digital filing systems
Assist with special projects and support Site entities and sister companies as needed.
Qualifications
0-3 years of experience in a bookkeeping, administrative, or office coordination role, recent grads welcome
Familiarity with core accounting concepts (AP, AR, basic reconciliations) is an asset
Experience with accounting software (QuickBooks, Xero, or similar) is an asset
Solid attention to detail and organizational skills
Comfortable managing multiple priorities across finance and office administration tasks
Friendly and professional, comfortable being the first point of contact for clients and visitors
Post-secondary education in Accounting, Finance, Business Administration, or a related field is preferred

Compensation: $50,000 - $63,000 (based on experience)
