ABOUT THE ROLE
This position is responsible for providing administrative judicial support services for courtroom proceedings, including the operation of courtroom recording equipment, maintaining court records and ensuring courtroom decorum. This position provides general assistance to the judiciary while coordinating with internal and external partners in the courtroom to ensure timely and effective use of the courts. WHAT YOU'LL BE DOING
Acts as Clerk of the Court while court is in session and provides judicial support for virtual and in-person courtroom proceedings, including opening/closing court, arraignment, swearing/affirming witnesses, and recording endorsements. Ensures courtroom decorum is maintained as per the Ontario Courts of Justice Act. Prepares and distributes court documents in accordance with judicial order and legislated requirements. Provides judiciary with motions and/or legal documents prior to court commencing, ensures daily docket and exhibits for court proceedings are properly before the court, and retrieves any missing material and information. Updates dispositions in the Integrated Court Offences Network (ICON) online system and ensures accuracy of pre- and post- court dockets. Receives, prepares and presents court exhibits. Stores and releases court exhibits in accordance with retention requirements. Prepares and supports the Justice of the Peace intake court including audio court record. Prepares correspondence and other written documentation as needed. Serves defendants with documents and swears affidavits of service as required by case law. Completes forms required by the court such as remand slips, interpreter requests, seizure slips, etc. and provides copies to the appropriate agencies in accordance with Ministry of the Attorney General’s protocols. Provides calculation of victim fine surcharge, fees and fines for defendants at the end of each appearance. Drafts correspondence for the judiciary relating to matters heard in court.
Collects drivers’ licences from defendants in court when required and forwards to Ministry of Transportation. Conducts prescribed announcements in the case of court closures or emergencies to ensure jurisdiction of matters and defendants before the court is not lost. Prepares verbatim transcripts of court proceedings from the audio court record, as needed, and certifies transcripts when assigned. WHAT WE'RE LOOKING FOR
Successful completion of a Post Secondary Diploma or Certificate (1 year or more) in a Legal Assistant or Professional Program or related field or approved equivalent combination of education and experience. Minimum three (3) years’ experience in a court environment or related court experience. Satisfactory Police Criminal Background Check. Knowledge of Provincial Offences and Highway Traffic Acts. Demonstrated ability in the Region’s core competencies. Knowledge of general office procedures including records management system. Intermediate skills in MS Office Suite including the use of virtual platforms, as well as knowledge of Integrated Court Offences Network (ICON) online system. Excellent interpersonal skills and ability to connect with a range of internal and external partners while focusing on fostering collaborative work relationships.
