Pioneer Fund is seeking a Finance & Operations Coordinator to help keep the machinery running behind the capital our founders depend on.

We invest in over 150 companies a year, and every one of those investments has to be tracked, reconciled, valued, and reported accurately. This role supports the finance and fund operations that make that possible, across portfolio and fund administration, quarterly close and tax compliance, and LP reporting. You don't need to be an accountant. We're looking for someone who is organized, curious, and eager to learn the operational side of fund finance.

This role reports to the Financial Controller and works closely with external service providers including our fund administrator, auditors, and tax advisors. Pioneer Fund embraces AI tools across our workflows and we're transparent about it. Familiarity with or openness to tools like Claude, Notion AI, and other AI tools is a requirement.

RESPONSIBILITIES

Maintain accurate investment and portfolio data across fund reporting

Reconcile portfolio data across internal systems, fund administrator reports, and cap tables to ensure consistency and flag discrepancies

Support capital call processing, fund forecasting, and ongoing reconciliation with the fund administrator

Track exit events (acquisitions, IPOs, secondary sales) and assist in reconciling proceeds to investing entities and LP capital accounts; maintain wind-down schedules and documentation for companies in dissolution

Monitor capital deployment against fund pacing assumptions and flag variances

Assist with valuation documentation in line with our Valuation Policy,



working closely with senior team members

Help gather and organize supporting documents for year-end audit and tax preparation

Respond to data requests from the fund administrator, LPs, and third-party data providers

Assist in the quarterly close process, including recording new investments, tracking changes in fair value, and summarizing fund performance for reporting purposes

Support preparation of financial statements and capital account statements for smaller side funds, working alongside senior team members

Support quarterly GST/HST filing for the Management Company, including reconciliation of input tax credits

Support T5013 (Canadian) and K-1 (U.S.) partnership tax schedule review ahead of filing deadlines and assist in fulfilling information requests from external tax advisors

Assist with Management Company corporate tax review in coordination with external tax advisors

Support preparation of Annual Meeting and Advisory Committee materials

Help compile data and materials for LP and fundraising-related requests

Assist in providing support on prospective investors' queries

Operations & Finance Support

Support monthly review and GL classification of Management Company credit card and operating expenses; assist with intercompany reconciliation including accounts receivable/payable and fundraising expense tracking, in coordination with the fund administrator





Support periodic cash flow and liquidity monitoring for both the fund and Management Company, flagging variances

Experiment with and help drive the adoption of new tools and approaches to streamline day-to-day finance operations

Maintain and refine systems for tracking fund metrics, portfolio data, and reporting timelines

QUALIFICATIONS

High attention to detail and a commitment to accuracy, especially important at our scale

Strong organizational skills with the ability to manage multiple workstreams simultaneously

Fast learner with new and existing tools, with the willingness and flexibility to try recent approaches to improve current processes

Familiarity with or openness to AI tools such as Claude, Notion AI, and other emerging AI tools to support day-to-day finance and operations tasks

Thrives working in a fast-paced, partially remote, dynamic environment while prioritizing and managing multiple tasks simultaneously

Comfort working with large datasets and identifying inconsistencies across multiple data sources

Clear written and verbal communication skills

- familiarity with basic bookkeeping, accounting and financial principles

Intellectual curiosity and a willingness to improve processes, not just maintain them

REQUIREMENTS

Bachelor's degree in Business, Economics, Finance, Accounting, or a related field

1 to 3 years of experience in finance, accounting, fund administration, or a related role (VC experience not required)

Advanced spreadsheet skills in Excel and/or Google Sheets, with comfort picking up new tools quickly

Familiarity with the startup ecosystem a plus, particularly Y Combinator

LOCATION Toronto (Hybrid, 2 days per week in office)
