Full-Time Administrator – Office & Operations Support

Location: In Office

Job Type: Full-Time, Permanent

We are looking for a detail-oriented, organized and capable Administrator to join our team on a full-time, permanent basis.

This is a hands-on administrative role supporting our front office, customers and internal operations. The right person will be comfortable working in a busy environment, managing multiple priorities and figuring things out when something doesn't go according to plan.

We are looking for someone who wants to learn, take ownership and grow with the company — not simply someone looking for a job to get through the day.

We are an established, growing flooring distribution company serving flooring retailers across Ontario. Our business is fast-paced and hands-on, with a close-knit team where everyone plays an important role in keeping things moving.

We work in a practical, team-oriented environment where people are expected to take ownership, communicate clearly and help solve problems. We are looking for someone who wants to build a long-term career with the company and grow as our business continues to expand.

What You'll Be Doing

Front Office & Customer Support

- Process sales orders accurately and efficiently
- Prepare and process customer invoices
- Respond to customer inquiries by phone and email
- Assist customers and sales staff with order-related questions
- Check shipments, quantities and product information
- Review inventory and help identify discrepancies
- Maintain organized electronic and paper filing systems
- Assist with general office administration

Administrative & Management Support





- Provide administrative support to the CEO and CFO
- Assist with reports, documentation and data entry
- Accounts payable / Accounts receivable
- Help organize and maintain company records
- Follow up on outstanding items and ensure tasks are completed
- Assist with special projects and process improvements as needed

What We're Looking For

The right candidate will be:

- Extremely detail-oriented and accurate
- A fast learner who can pick up new systems and processes quickly
- Comfortable managing several tasks at once without losing track of details
- A solid problem solver with good common sense
- Comfortable working with numbers and performing basic calculations
- Organized, dependable and able to follow through
- A clear and confident English communicator, both written and verbal
- Comfortable working in a busy team workplace
- Proactive and willing to ask questions, learn and improve
- Interested in developing with the company over the long term

Technical Skills

- Strong working knowledge of Microsoft Outlook
- Comfortable working with email, calendars, files and spreadsheets
- Experience with QuickBooks or similar accounting/inventory software is strongly preferred
- Strong computer skills and the ability to learn new software quickly




- Comfortable working with numbers, including basic pricing and measurement calculations

Qualifications

- Previous administrative, office or customer service experience
- Experience with QuickBooks or similar accounting software is an asset
- Strong Microsoft Outlook and computer skills
- Strong English communication skills
- Basic math skills
- Ability to work independently while contributing effectively to a team

Compensation

$20–$26/hour, based on experience and qualifications.

We are open to hiring someone at the beginning of their administrative career who has the right attitude, strong attention to detail and willingness to learn, and we are equally interested in experienced candidates who can step in and contribute immediately.

For the right person, there is opportunity to grow with the company and take on additional responsibility over time.

Hours: Full-time, Monday–Friday
