What You'll Do Workplace Readiness and Daily Operations
Conduct structured daily walkthroughs and readiness checks across all work areas, meeting rooms, pantries, and common spaces before business hours.
Maintain and enforce workplace presentation standards, flagging deficiencies and following through to resolution.
Perform regular space audits, documenting findings and escalating recurring issues to the Workplace Experience Manager.
Meeting and Event Support
Set up and reset meeting rooms to required configurations, including AV, furniture, and supplies.
Support on-site events end to end: coordinate room booking, arrange catering, manage setup and teardown, and confirm logistics with vendors.
Serve as the day-of point of contact for meetings and events, resolving issues quickly and professionally.
Pantry and Hospitality Services
Monitor and replenish pantry and refreshment stations throughout the day, ensuring stock levels, cleanliness, and equipment functionality.
Coordinate with hospitality vendors and internal teams to deliver a consistent, high-quality employee experience.
Greet employees, visitors, and guests with a professional and welcoming approach; issue visitor passes and follow site security protocols.
Office Supply and Inventory Management
Track and manage office supply inventory using established par levels; place replenishment orders and reconcile deliveries.
Maintain organized storage areas and ensure supplies are accessible and clearly labeled.
Identify cost-saving opportunities and flag unusual consumption patterns to the Workplace Experience Manager.
Mail and Package Handling
Receive, sort, log, and distribute incoming mail and packages in a timely manner.
Coordinate outgoing courier shipments, including documentation and carrier scheduling.
Maintain the mail and package log, resolving discrepancies and following up on undelivered items.
Employee Support and Service Requests
Act as the first point of contact for employee workplace inquiries, providing prompt, solutions-oriented responses.
Log and manage service requests through the designated work order platform, tracking status and communicating updates to requestors.
Support employee onboarding by coordinating workspace setup, access cards, and supply kits.
Facilities Coordination and Maintenance Follow-Up
Submit maintenance and janitorial work orders; track open items to closure and elevate delays.
Conduct follow-up inspections to confirm completed work meets quality and safety standards.
Support health and safety activities, including signage updates, first aid stock checks, and emergency supply readiness.
Vendor Coordination and Service Follow-Up
Serve as the on-site liaison for contracted service vendors, confirming attendance, scope delivery, and quality outcomes.
Document vendor performance observations and communicate issues to the Workplace Experience Manager for governance review.
Coordinate vendor access, site inductions, and permit requirements in line with building protocols.
Qualifications What You'll Need
High school diploma or GED required; a post-secondary diploma or certificate in hospitality, facilities management, business, or a related field is an asset.
Two or more years of experience in a workplace services, facilities, hospitality, or customer-facing operations role.
Familiarity with work order management platforms, inventory systems, mail and package software, Slack, AirTable, SmartSheets and Microsoft Office (Word, Excel, Outlook).
Valid authorization to work in Canada.

The salary range being offered for this Workplace Experience Coordinator position is between $50,000 annually and $55,000 annually. The compensation that is provided to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
