The CRM & Power Platform Administrator is the organization's resident expert on our Microsoft Dynamics 365 environment and the wider Microsoft Power Platform. Reporting to the Executive Director, Development Strategy & Systems, this role owns the day-to-day administration, configuration, security, and continuous improvement of the CRM as the central system supporting donor relations, fundraising, gift processing, charitable tax-receipting, and constituent engagement.
Working across departments, the Administrator translates business needs into reliable, well-documented technical solutions — automating data entry, safeguarding data integrity, building reporting and analytics, and enabling staff through training and standard operating procedures. Because the workplace is maintained within a shared, centrally-governed framework, the role delivers enhancements and customizations without compromising the stability, security, or integrity of core CRM functionality, and coordinates with the Jewish Federations of North America (JFNA) collective — distinguishing between local configuration and changes managed centrally.
Key Responsibilities Responsibilities include, but are not limited to, the following.
Platform Administration Administer the Dynamics 365 environment day-to-day, including Dataverse tables, forms, views, business rules, and solution/environment management (development, test, and production).
Configure and maintain the core Dynamics 365 customer engagement apps in line with organizational processes and the shared, centrally-governed build.
Manage application lifecycle and release practices — testing centrally-managed build updates and Microsoft releases before deployment, and communicating changes to affected staff.
Distinguish between locally configurable elements and centrally-managed build components, escalating and coordinating accordingly.
Security, Permissions & Compliance Own the CRM security model: security roles, teams, business units, field-level security, and least-privilege access provisioning and reviews.
Apply cybersecurity best practices across the platform (access control, MFA/conditional access alignment with Entra ID/M365, audit logging, and periodic access recertification).
In collaboration with Marketing, Finance, and other stakeholders, support data privacy and regulatory compliance relevant to Canadian charities — including BC PIPA/PIPEDA for personal information and CASL consent management for electronic marketing — by implementing and maintaining the supporting technical controls.
Maintain the integrity of gift-processing and charitable tax-receipting workflows to ensure they remain accurate, auditable, and CRA-compliant.
Reporting & Analytics (Power BI)
Design, build, and maintain Power BI reports and dashboards tailored to individual, departmental, and leadership needs.
Develop robust data models and measures (Power Query / DAX), and review and streamline existing reports to reduce duplication and improve reliability.
Deliver fundraising, campaign, and donor analytics, and support reconciliation between the CRM and finance systems where required.
Marketing Automation (Customer Insights – Data & Journeys) Administer and support Dynamics 365 Customer Insights (Data and Journeys), including segments, customer journeys, email marketing, and event or campaign flows.
In partnership with Marketing, support CASL-compliant marketing execution — consent capture, subscription management, and unsubscribe handling.
Integrations & Data Quality Manage and support third-party integrations to the CRM, including document generation (DocumentsCorePack) and address/data-validation tooling (e.g., Loqate or Melissa Data).
Work with stakeholders across departments (Foundation, Finance, Marketing, etc.) to determine appropriate coding and categorization of CRM data.
Oversee data hygiene and quality — deduplication, standardization, validation, and enrichment — and implement and document the standards that maintain it.
Design and manage data imports, exports, transformations, and migrations using platform and supported third-party tools.
Training, Documentation & Support Serve as the primary point of contact and liaison for CRM issues across departments; triage, troubleshoot, and resolve or elevate as appropriate.
Author and maintain standard operating procedures (SOPs) for CRM business processes, plus a searchable internal knowledge base.
Deliver onboarding and ongoing training so staff can use the platform confidently and consistently for role-related tasks.
Collaboration & Continuous Improvement Partner with departments to understand their goals, challenges, and deliverables, and translate them into practical CRM solutions.
Participate in the JFNA Dynamics 365 collective — user groups, enhancement requests, and shared solutions — and bring back relevant improvements.
Maintain vendor and partner relationships (integration providers, Microsoft, and the JFNA collective) and track deliverables and issues to resolution.
Preferred / Asset Qualifications Experience with Dynamics 365 Customer Insights (Data and/or Journeys) and marketing automation.
Experience with CRM integrations including, but not limited to, DocumentsCorePack and address/data-validation services (Loqate, Melissa Data).
Familiarity with nonprofit or fundraising operations, gift processing, and charitable tax-receipting (CRA).
Knowledge of CASL, BC PIPA, and PIPEDA as they apply to donor data and communications.
Exposure to shared or centrally-governed Dynamics 365 environments (e.g., multi-affiliate or federated builds).
SQL and reporting fundamentals; experience with application lifecycle management (ALM) / solution deployment.

Salary and Working Conditions Salary range: $70,000 to $90,000 per annum, commensurate to experience
Schedule: Full-time, Permanent - based on a 35-hour work week
