About Us We are a busy heavy truck repair shop located at the Edmonton International Airport, dedicated to keeping our fleet and owner-operator clients on the road. We are looking for a sharp, organized, and detail-oriented individual to be the "engine" of our front office and the backbone of our parts inventory. The Role This is a vital, multifaceted position. You will be the central hub of our business, acting as the bridge between our customers, our mechanics, and our vendors. You will manage the office, handle day-to-day bookkeeping, and keep our parts room organized. This role ensures accurate documentation of repair orders, invoices, and parts inventory while contributing to an effective shop workflow. Key Responsibilities Office Administration & Bookkeeping: Create and send accurate invoices for truck repairs. Input vendor bills (parts, supplies, etc.), match them to receipts, and prepare them for payment. Manage accounts payable and receivable, including following up on overdue accounts. Maintain accurate and up-to-date financial records using accounting software. Open and manage work orders, clearly translating customer needs for our mechanics. Answer phones, greet customers and drivers, and provide status updates on repairs. Organize and track work orders, receipts, and job information. Parts Coordination & Inventory: Research, source,
and order specialized truck parts to ensure our team has what they need to finish jobs on time. Receive, unpack, and sort incoming parts and supplies. Maintain an organized and accurate parts inventory and assist with inventory tracking and replenishment. Communicate with vendors regarding parts availability, pricing, and delivery status. What You Bring to the Table Experience: 2+ years of experience in a busy office, bookkeeping, or a similar administrative role. Experience in a trucking company or repair shop is a huge plus. Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is essential. Experience with accounting or shop management software is highly preferred. Organization: You are highly organized and can juggle multiple tasks without breaking a sweat. Communication: You have clear, professional communication skills and are comfortable talking with drivers, technicians, and vendors. Mechanical Interest: You don't need to be a mechanic, but a basic understanding of truck parts or the automotive industry is a major asset. Why Join Us?
