Little League Baseball Canada is seeking a bilingual individual in the capacity of Administrative Assistant, to assist and support the Administrative Coordinator.

Hours of work are 3 days or 22.5 hours per week, on-site. No remote work.

The salary for this position is $21 - $25/hour and will be commensurate with qualifications and experience. There will be a fixed dollar figure in lieu of benefits.

POSITION OVERVIEW:

The Administrative Assistant supports the daily administrative and financial operations of Little League Baseball Canada. Reporting to and working closely with the Administrative Coordinator, the Administrative Assistant performs a variety of administrative, bookkeeping, and financial administration duties, including records management, member and stakeholder communications, accounts payable and accounts receivable processing, bank and credit card reconciliations, invoicing, payment processing, and maintaining accurate financial records in QuickBooks.

The successful candidate will be reliable, detail-oriented, eager to learn, and capable of managing multiple priorities in a small team environment. Strong communication skills in both English and French are essential.

KEY RESPONSIBILITIES:

Administrative Responsibilities

- Maintain electronic and physical files and records;
- Sort and distribute incoming mail and prepare outgoing mail;
- Perform receptionist duties, including answering and directing telephone and email inquiries;
- Utilize office equipment such as copiers, printers, and scanners;
- Monitor inventory of stationery, promotional materials, and Little League supplies;
- Assist in making travel arrangements and booking venues for conferences, meetings, and events;
- Assist with membership, tournament, and program administration as required;
- Perform other office duties as assigned.





Bookkeeping and Financial Administration Responsibilities
- Process accounts payable, including entering vendor bills and preparing payments;
- Process accounts receivable, including issuing invoices and recording receipts;
- Record day-to-day financial transactions accurately in QuickBooks;
- Maintain accurate records of cash receipts, disbursements, and electronic payments;
- Perform monthly bank and credit card reconciliations and investigate discrepancies;
- Assist with deposits and banking activities;
- Prepare financial reports and supporting documentation from QuickBooks as required;
- Support the preparation of financial information for the Treasurer, CPA, auditors, and Board of Directors;
- Assist in maintaining financial controls and record retention practices;
- Support annual budgeting, audit, and year-end financial reporting processes.

QUALIFICATIONS: · Minimum one (1)-year post-secondary education in business administration, office administration, accounting, bookkeeping, or a related field;

· Minimum five (5) years of bookkeeping, financial administration, or accounting support experience;

· Demonstrated experience using Quickbooks to maintain financial records;

· Experience processing accounts payable, accounts receivable, and bank reconciliations;

· Proficiency with Microsoft Office applications, particularly Excel, Outlook, Word, and Teams;

· Excellent organizational, record-keeping, and multi-tasking abilities.

· Knowledge of Shopify is considered an asset.





· Bilingual in English and French (both written and verbal) is an asset

SKILLS AND ABILITIES:

· Strong organizational skill with the ability to manage multiple priorities, meet deadlines, and adapt to changing demands in a fast-paced environment;

· Ability to work independently with minimal supervision while also contributing effectively as part of a small team;

· Sound judgment, professionalism, and strong interpersonal skills;

· Excellent attention to detail and accuracy, particularly when maintaining financial records and processing transactions;

· Strong numerical aptitude and understanding of basic bookkeeping and accounting principles;

· Ability to accurately process accounts payable and accounts receivable transactions, maintain records, and perform account reconciliations;

· Ability to handle sensitive and confidential information, including financial and personal information, with discretion and professionalism;

· Ability to interact diplomatically and professionally with volunteers, members, vendors, stakeholders, and the public;

· A valid provincial driver's license is considered an asset.
