About the Role
Goldenstone Wealthy Group Limited is a Canadian financial services company based in Markham, Ontario. We are seeking a detail-oriented Administrative Assistant – English & Mandarin Bilingual to provide day-to-day administrative, operational, and client-service support to our team.
This is a paid, full-time, on-site position based in Markham, Ontario.
The role supports advisors and other qualified professionals with documentation, client communication, application processing, record keeping, bookkeeping support, and operational follow-up.
This is an administrative support role. The employee will not independently provide investment, insurance, lending, tax, or other regulated financial advice.
Key ResponsibilitiesInvestment & Wealth Management Support
- Organize and maintain client files, investment-related forms, account information, and supporting documentation.
- Assist advisors with administrative processes related to RRSP, TFSA, RESP, and other registered accounts.
- Support the preparation and organization of documentation related to account opening, account updates, and investment-related administrative requests.
- Assist advisors with preparing client documents and administrative materials.
- Communicate with financial institutions and investment companies regarding documentation, application status, and administrative follow-ups.
- Maintain accurate and organized records of investment-related documentation and correspondence.
Insurance Administration
- Assist with administrative processes related to life insurance, travel insurance, and other insurance products.
- Collect, organize, and review application documentation for completeness.
- Support application submission, account setup, and document processing through insurance company platforms.
- Follow up with insurance companies regarding application, underwriting, and processing status.
- Coordinate required documents, signatures,
and administrative follow-ups.
- Maintain accurate insurance-related client files and records.
Lending & Financing Support
- Assist advisors with collecting and organizing information required for lending and financing applications.
- Prepare and organize supporting documentation for applications.
- Communicate with banks, lenders, and other financial institutions regarding documentation and application status.
- Follow up on outstanding documents, application progress, and administrative next steps.
- Maintain accurate client records related to lending and financing activities.
Accounting & General Administrative Support
- Provide day-to-day bookkeeping and accounting-related administrative support.
- Assist with reviewing and organizing bank-feed transactions in QuickBooks.
- Organize receipts, expense records, reimbursement documentation, and other supporting financial records.
- Process and maintain documentation for company expense reimbursements.
- Assist the company accountant with year-end documentation and administrative preparation.
- Assist with organizing information for T4, T4A, and other year-end forms under the direction of the company accountant.
- Maintain accurate and well-organized company and client records.
- Provide general administrative and operational support to the team as required.
Qualifications
- Professional fluency in both English and Mandarin is required, as this position regularly communicates with English- and Mandarin-speaking clients and business contacts.
- Strong verbal and written communication skills.
- Strong attention to detail, organization, responsibility, and time-management skills.
- Ability to manage multiple tasks while maintaining accurate records.
- Proficiency with Microsoft Office, Google Workspace, and standard office applications.
- Familiarity with QuickBooks is an asset; willingness to learn is required.
- Previous experience in administration, customer service, bookkeeping, banking, insurance, or financial services is an asset.
- LLQP or other relevant financial-services knowledge is an asset but is not required.
