Description The Faculty of Veterinary Medicine invites applications for an Administrative Assistant. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

Reporting to the Manager of CAN-AMR-Net, while working closely with the CAN-AMR-Net team and the Network Director, this one-year fixed-term position provides comprehensive administrative and operational support to the Director, Manager, and the team.

Summary of Key Responsibilities (job functions include but are not limited to):

Budget Management

- Responsible for supporting assigned project budget accounts
- Supports the team with financial tasks, including setting up supplier accounts, requesting purchase orders, processing invoices, and monitoring and tracking payment requests and requisitions
- Assists with financial reporting, reconciliation, and budget monitoring to ensure expenditures are accurate and aligned with project requirements
- Maintains organized financial records and ensures compliance with University policies, funding agency requirements, and established financial procedures

Senior Administration
- Ensures effective and timely communication, serving as a key liaison between CAN-AMR-Net stakeholders, partners, and collaborators
- Responsible for scheduling executive meetings, preparing agendas, recording minutes, and tracking action items
- Monitors and supports the shared CAN-AMR-Net mailbox, responding to inquiries and directing communications as appropriate
- Manages the Director's calendar, including coordinating meetings, appointments, and travel arrangements
- Assists with the planning and coordination of multi-site meetings, workshops, conferences, and other network events.

Event Planning
- Assists the CAN-AMR-Net Project Manager and Event Manager with event administration and planning. Provide on-site support as required
- Assist with event meetings, marketing, and communications on LinkedIn

Other
- Completing HR and other administrative tasks within PeopleSoft
- Maintains and orders office supplies as required including computers, and software
- Prepare and receive courier packages, collects, and distributes mail
- Communicates in a pleasant and respectful manner
- Responds accurately and professionally to general telephone, email, and in person inquiries and requests

Qualifications / Requirements

- Post-secondary education in Business Administration, combined with 3-5 years of progressively responsible administrative experience, preferably in an academic environment, is required.



An equivalent combination of education and experience may be considered
- Demonstrated knowledge of academic business account management, general accounting principles, financial administration, and reporting processes is required
- Proven experience providing senior-level administrative support, preferably within a university, research, or academic setting
- Experience working in a post-secondary environment is required, with robust preference given to candidates familiar with University of Calgary administrative and financial processes
- Experience supporting academic staff, researchers, and graduate students
- Experience coordinating academic workshops, conferences, meetings, and other events is considered an asset
- Excellent attention to detail, as well as strong communication, organizational, problem-solving, and interpersonal skills
- High level of flexibility and the ability to adapt to changing workloads, priorities, and deadlines
- Demonstrated proficiency with Microsoft 365 applications, including Outlook, Excel, PowerPoint, Word, OneDrive, Teams, and SharePoint, as well as Zoom and Adobe Acrobat
- Strong understanding of financial and accounting principles and related software. Experience with eFIN is considered an asset
