Job Summary The Fort McMurray Youth Soccer Association (FMYSA) is seeking a highly organized, adaptable, and proactive Administrative Assistant to support the day-to-day operations of the organization.

This position plays an key role in supporting office administration, member communications, program registration, scheduling, facility coordination, record management, and program delivery. The successful candidate will work closely with FMYSA staff, Technical Directors, Board members, families, vendors, and community partners to help ensure programs and administrative processes operate efficiently.

The ideal candidate is comfortable managing multiple priorities, working independently, communicating with members of the public, and using technology to improve administrative processes.

Key Responsibilities

- Provide general administrative and office support to FMYSA staff and Technical Directors.
- Respond to member, parent, vendor, and community inquiries in a professional and timely manner.
- Maintain accurate and organized physical and digital records, files, registration information, and administrative documentation.
- Support player registration, payment processing, refunds, member account updates, and registration troubleshooting.
- Create, maintain, and update online registration forms for FMYSA programs.
- Assist with facility bookings, program scheduling, evaluations, tournaments, camps, and other soccer programming.
- Support Recreational/Competitive League, Summer Camp, and other FMYSA program administration as required.
- Coordinate uniform, equipment, and inventory-related administrative tasks.
- Assist with maintaining membership lists, tracking outstanding fees, and preparing administrative information for financial reconciliation and reporting.
- Support website updates, program notices, weather-related communications, and other member communications.
- Assist with marketing,



promotional materials, social media, and digital content where required.
- Identify opportunities to improve administrative workflows, systems, and internal processes.
- Perform other administrative and operational duties as reasonably required.
- Maintain strict confidentiality and protect sensitive member, employee, financial, and organizational information in accordance with applicable privacy requirements and FMYSA policies.

Required Qualifications
- Post-secondary education in Business Administration, Office Administration, Management, or a related field
- Previous administrative, clerical, office, customer service, or related experience.
- Strong proficiency with Microsoft Office, including Word, Excel, Outlook, and related digital tools.
- Strong organizational skills with the ability to manage multiple priorities and changing deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy when handling records, registrations, schedules, and member information.
- Comfortable learning and using online registration, database, scheduling, and administrative systems.
- Ability to work independently while also collaborating effectively with staff, volunteers, Board members, and community partners.
- Ability to work on-site in Fort McMurray.

Preferred Assets The following are considered assets but are not mandatory:
- Experience using PowerUp Sports, Pointstreak, or comparable registration/member-management software.




- Previous experience working within a sports, recreation, nonprofit, membership-based, or community organization.
- Experience with graphic design, digital content creation, Canva, Adobe products, or similar tools.
- Experience supporting social media, marketing, or organizational communications.
- Experience with process improvement, workflow optimization, or administrative system development.
- Experience designing, developing, or implementing internal software tools, workflow automation, databases, or other technology-based operational solutions.
- Experience using technology to improve scheduling, registration, reporting, communication, or other administrative processes.
- Valid Class 5 Alberta Driver’s Licence is considered an asset.

Work Environment This is an on-site position in Fort McMurray, Alberta. The successful candidate will work in a collaborative community-sport environment and should be comfortable interacting regularly with families, coaches, volunteers, staff, vendors, and community partners.

Regular hours are primarily Monday to Friday; however, occasional flexibility may be required during registration periods, tournaments, evaluations, camps, special events, or other peak programming periods.

About FMYSA The Fort McMurray Youth Soccer Association is a community-based organization dedicated to providing soccer programming and development opportunities for players of various ages and skill levels throughout the Fort McMurray Wood Buffalo region.

We are looking for someone who is organized, dependable, comfortable with technology, and interested in contributing to the continued improvement of FMYSA's programs and operations.

Pay: $25.00-$29.00 per hour
